Executive Assistant (f/m/d)

Tasks


  • Responsible in supporting the CEO of Operations in Europe to ensure that company goals and objectives are accomplished, and operations run efficiently
  • Anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.
  • Provide high standard support on preparation of reports, document handling and calendar management including personal and professional errands and appointments.
  • Answering phones and routing calls to the correct person or taking messages
  • Researching and conducting data to prepare documents for review and presentation by boards of directors, committees, and executives
  • Helping prepare for meetings
  • Using various software, including word processing, spreadsheets, databases, and presentation software
  • Reading and analyzing incoming memos, submissions, and distributing them as needed
  • Making travel arrangements and ensuring all needed documentation and preparation is up to date
  • Responsible of distributing correspondence respectively
  • Provide general administrative support.

Job Requirements


  • Proven experience ofat least 5 years as an executive assistant or other relevant administrative support experience
  • In-depth understanding of entire MS Office
  • Fluent in German and English (written and spoken) - other European languages are a plus
  • Highly organized personality as well as the ability to handle priorities and meet deadlines on a timely manner
  • Capability to work under pressure and with last minute changes with a high level of confidentiality
  • Active problem-solving with strong decision-making skills
