Job description

Executive Assistant (Temporary - 2 months)

A local, established, not for profit, public sector company in Aberdeen.

Your new role

An exciting role providing high quality administrative and secretarial support to the Chair and Senior Management team.

Duties include (but are not limited to)

* Preparing presentations reports and outgoing correspondence.
* Managing confidential papers.
* Email, telephone, and diary management.
* Assisting with servicing board and committee meetings. Including booking meetings, preparing agendas, and setting up meeting rooms.
* Assisting the Chair and Senior Management to ensure departmental policy and procedure are reviewed and approved.
* Formatting reports, policies and strategies to ensure they are consistent with corporate branding and style.
* Arranging travel, training and accommodation for Senior Management.
* Regular use of Microsoft Office.
* Working with invoices and purchase orders.
* Assisting with other roles as required and to carry out all duties within accordance of relevant company policy and procedures.

What you'll need to succeed

You will need to be have experience working in a secretarial or administration role, with previous customer focused experience. You will need to have excellent administrative, interpersonal and communication skills ideally with experience working with senior management. Experience of minute taking and a high level of computer literacy working with Microsoft Office is essential. You must have strong organisational skills and demonstrate a flexible approach to work. You will need to have a good attention to detail, the ability to work under pressure and the ability to relate to people at all levels. You must be available to work evenings if meetings are being held and to keep confidential information.
