Job description

PD&MS Group have an opportunity for an experienced Proposals & Business Development Coordinator to join our Business Development team on a fixed 12 month contract to cover maternity leave.

The role will be based in Aberdeen but currently being carried out remotely.

The successful candidate will provide bid co-ordination and management support in the creation of sales documents, presentations and marketing. This includes the development of, reviewing and editing of proposal content, managing design / external suppliers / internal suppliers.

Duties include:

* Focal point for proposals function

* Receive and review invitation documentation from clients, identify information required and prepare documentation for kick off meeting

* Plan, prioritise, communicate and manage workload efficiently and effectively

* Setting up of proposals on internal systems

* Attend proposal kick off and progress meetings

* Record, distribute and maintain proposal documentation / correspondence

* Collate information received from proposal teams and format proposals, coordinate proposals production and administer final print in accordance with PD&MS procedures

* Advise and assist proposal inputters with tendering process and ensure all deadlines are adhered to

* Collect proposal data, compile and maintain catalogue of best practice proposal responses identifying re-use material, CVs and supporting technical documentation and make available to proposal teams

* Assist with the management of e-procurement portals. Retrieve bid documentation for distribution, upload completed bid documents

* Prepare presentation material / advise on content of presentation material

* Printing and binding of bid documents when required

* Ensure proposals are delivered prior to the deadline

* Assist as and when required in the general running of the Business Development department

* Assist with PD&MS marketing activity and events

* Assist with collation and management of company literature including case studies, company experience, project profiles and marketing literature

* Coordinate graphic design activities including briefing, liaising and managing design and print production

About You

This position would be well suited to an individual with some existing proposals and business development experience and has the following skills and attributes:

* Highly organised with the ability to multitask

* Coordination skills and high attention to detail

* Delivery focussed

* Understanding of what makes a good proposal

* Ability to work on own initiative whilst at the same time able to work within a small team

* Excellent communication and organisation skills

* Good command of written English

* A good eye for design

* Well-developed interpersonal skills

* Flexibility and willingness to provide support when it is required

* Ability to work accurately and concisely under pressure and adhere to strict deadlines
