Administrative Assistant Job, Havering

Start date: asap ( 37 hours a week)

As the Administrative Assistant, you also have the opportunity to progress into a PA role for the Director of Finance from September 2022 with a salary increase in line with that of a Personal Assistant.

Your new role
As the Administrative Assistant you will be required to help in the reception area of the school from 8.30am to 10am after which you will head over to the central team office to provide administrative support to the various departments within the Trust's central team and to assume the role of the first point of contact for all visitors and all telephone enquiries made to the Training and Development Centre (TDC).

Key responsibilities:

Executive Assistant and Office Administrative Support

* Help provide an orderly, friendly, and calm environment for visitors.
* Arrange travel and accommodation for the Central team.
* To produce all photo copying, meeting packs and materials as and when require
* To complete filing, binding, and scanning documents on file and electronically.
* To order and maintain office supplies.
* To ensure the TDC is kept tidy and an informative area.
* To accept and sign for deliveries as appropriate.
* To deal with telephone enquiries.
* To maintain and create name badges for all central team members.
* To receive telephone calls, take messages and redirect as necessary.
* To schedule meetings and book meeting rooms.
* To produce agendas when needed.
* To complete diary management, create remote meetings and send invites for the central team.
* To order lunches.
* To attend SLG meetings and take actions in the absence of the EA and Office Manager.
* To sort through mail and pass on to the relevant person.
* To maintain visitors' safeguarding administration.
* To administer orders for stationery and refreshments as and when required.
* To support the Havering academy from 8.30am to 10am in the office.

HR support

* Ensure the staff directory is updated every term by the academy office managers including updating the central team
* To assist in recruitment administration including the creation of job packs and adverts, DBS checks and requesting references for central team roles.
* Update HR related software as required such as Arbor and SCR
* Ensure the central team's holiday and absence tracker is kept up to date
* Administer annual update letters for the central team including pay progression
* Ensure HR files are kept up to date
* Manage the recruitment inbox

Facilities and infrastructure support

* To act as the fire marshal and first aider for the TDC
* To give and collect IT equipment for central staff

Communications and Marketing support

* Support the content creation for OA websites to ensure they remain fresh and accurately reflect what's happening across the Trust
* Working with colleagues to identify, plan and deliver social media activity
* Monitor trust and academy twitter accounts

To apply for this Administrative Assistant job you need to have the following:

* Minimum of Level 2 Maths and English GCSE or equivalent
* First Aid training is desirable
* Experience working in an office environment
* Experience of working collaboratively with others
* Detailed knowledge of IT systems; competent user of Office 365 (Word, Excel, SharePoint), computerised accounting systems and Management Information Systems
* Strong analytical, strategic, interpersonal and thinking skills
* Ability to work under pressure and prioritise effectively
* Excellent writing skills and numeracy skills - with excellent attention to detail
* Personal and professional resilience in the face of challenging situations
* Self-motivated, productive, diligent and thorough
