Administrator (HR and Operations)
This is a wide-ranging role that will see you involved in a variety of activities, including providing effective diary management and high-quality administrative support to the organisation at our busiest time. We are seeking a personable and well-organised individual with strong communication skills, able to work in a busy environment, prioritise workloads and meet deadlines. Our head office team ensures the smooth running of our mental health social work programme, and the Finance, HR & Operations department provide crucial support to the delivery of this. The successful candidate would be an integral member of the HR & Operations team, working in a variety of operational areas that work in tandem to provide a positive and successful working environment for our Head Office team.
Administrator Responsibilities:
• Monitor, file and sort the Data Protection, Complaints and HR inboxes and alert the team to any new enquiries.
• Administrative support to the Head Office recruitment process for all new staff positions including advertising roles, preparing applications for hiring managers, scheduling interviews and liaising with applicants.
• Administer, maintain data and make agreed changes within our HR system.
• Assist in the onboarding process for new employees including scheduling introductory meetings, creating employee records, providing handbooks and ordering equipment.
• Manage, monitor and control all HR administration records and processes including appraisals, sick forms and probation forms.
• Diary management for the CEO and setting up key internal/external meetings for SMT.
• Make travel arrangements when needed for the CEO and SMT for external meetings.
• Manage and respond to general enquiries, including telephone calls and correspondence received to our enquiries email address.
• Regularly update and maintain the CEO and SMT's Contact Relationship Management (Salesforce) system to ensure Think Ahead holds the most current and relevant contact details for key stakeholders.
• Support with day-to-day office management, including health and safety compliance, liaison with suppliers and access issues.
• Assist with room bookings and catering arrangements for meetings when needed.
• Provide project support on internal projects as needed.
• Assist in the preparation for the quarterly trustee meetings, including preparation of board papers, generating agendas, and writing up the minutes afterwards.
Administrator Requirements:
• Strong organisational skills.
• Good time management skills, including the ability to balance, anticipate and adapt to conflicting demands and work to tight deadlines.
• Good IT skills (MS Office - Outlook, Word, PowerPoint and Excel).
• Strong written and verbal communication skills.
• Strong interpersonal and team working skills; the ability to deal with people at all levels in a sensitive and professional manner.
• Attention to detail and high level of accuracy.
• Ability to work under pressure and adapt to uncertain or unexpected outcomes with flexibility and resilience.
• Ability to build relationships and work closely with and support a team of colleagues and network of stakeholders.

Location: Chancery Lane, London - Hybrid working pattern with equivalent of 2 days per week in the office. (Operating remotely until end of January 2021 with option to attend office voluntarily until then).
Contract Type: Permanent
Hours: Full Time (Part time, for 3 or 4 days a week will be considered)
Salary: £23,000 per annum (pro-rated for part time), plus competitive benefits package
