Challenge Team Coordinator

£29,000 - £31,250pa

London or remote - we are a hybrid organisation

As Challenge Events Coordinator, you'll be a vital part of the team that deliver our exciting portfolio of celebrity challenges for the Red Nose Day 2021 campaign. You'll support the Challenge Events Manager and Challenge Project Managers in planning and delivering a number of high-profile events and acting as a key point of contact for internal and external stakeholders.

Key Responsibilities:

Arranging project meetings with internal and external stakeholders, coordinating diaries and issuing meeting agendas
Producing regular reports on the progress of our challenge events
Recording and producing minutes and action lists from challenge meetings
Leading on administrative aspects of Challenge Event delivery, such as booking and coordinating travel and accommodation, processing visa/permit applications, creating kit lists, updating daily schedules and plans, and producing team briefing documentation
Assisting teams from across the organisation, where required, with preparations for asset gathering shoots, media days and other events related to the promotion, delivery and celebration of our Challenges
Assisting the Challenge Project Manager(s) with the sourcing and branding of appropriate kit and clothing for talent and personnel taking part in the challenges and working with providers to secure goods on a value in kind basis
Acting as a key point of contact for kit providers and coordinating activity as part of our kit partnership support programme
Preparing and packing event kit, managing kit during live events and cataloguing kit post-event
Ensuring key contacts and gifts in kind are logged on the charity's CRM systems
Where relevant, liaising with local authorities to seek permissions for various activities that take place during our live challenges, such as fundraising collections and filming
Supporting the delivery of live challenge events either in studio or on the road
Contribute to the monitoring, sharing and evaluating of delivery by capturing lessons learned and helping to shape recommendations for future improvements
Where required, assisting the wider Campaign and Events Team with the delivery of our portfolio of campaign activity

Essential Education and Competencies:

Demonstrable experience of the coordination of high-profile live events involving multiple stakeholders and partners
Strong organisational and time management skills - planning, managing, monitoring and prioritising
Proficient in the use of Microsoft applications including Word, Excel, Powerpoint and Outlook
Pro-active attitude with great attention to detail
Effective relationship builder with great communication skills
Collaborative worker who is able to work closely with all teams and communicate effectively
Resilient and calm under pressure, with the ability to stay the course during the height of delivery

Desirable Skills and Competencies:
