Job description

TPP are working with an Association to recruit an Executive Assistant.

This is an exciting opportunity to support the CEO and senior management team. You will also be part of the governance team to provide efficient support for all the Association's governance systems and to continually improve business systems and procedures.

This role offers a hybrid working pattern.

Can you demonstrate understanding of confidentiality? Do you have great relationship skills?

The majority of your time would be supporting the CEO. The support to the rest of the senior management team would be diary management and some ad hoc duties.

The key relationships internally would be with the Chief Executive Officer, President and other Officers, SMT, Council/Board members, Governance team

As the Executive Assistant you will be responsible for development and maintenance of the day to day operational activities of the SMT as evidenced by the provision of effective, efficient, professional, pro-active and confidential support.

You will co-ordinate diaries for the President/CEO meetings with the Association and other medical societies. You will provide administrative support as required to the President and other Officers, and the SMT, including
support at meetings when required. You will provide support for all aspects of Board and committee meetings as required, from organising presentations by invited guests to liaising with Facilities for the provision of rooms, AV and catering and organising virtual meeting technology.

To minute meetings, prepare agendas, distribute papers to agreed time-scales and keep accurate records of membership and attendance. Track the action points from meetings and following up with the chair and/or Board/committee members as necessary through to completion.

Do you have extensive experience of working as an Executive assistant supporting a CEO and their senior team?

Do you have experience of organising and servicing committee/board meetings, including accurate minute taking?
