How will the Facilities Assistant contribute to Nesta's success?
Nesta are landlords of 58 Victoria Embankment (58VE) - our newly built, high end office space, occupying 7 floors and overlooking the Thames. The space is used in a variety of ways; as offices for Nesta, as a flexible events space and as tenanted space to three leaseholders.
To meet these different demands, Nesta is looking to recruit a Facilities Assistant to support the Estate and Facilities team (comprising of the Head of Estate and Facilities, Building and Facilities Supervisor, Building Services Engineer and the Front of House Team) and ensure Nesta's facilities and events operate smoothly and is managed against the relevant service agreements and financial frameworks.
The post holder will be looking after the day-to-day running of the space that Nesta occupies and supporting the Building Management Team in looking after all practical aspects of 58 Victoria Embankment.
The Role
This role pertains to Nesta's office space and the common parts of 58VE, but on occasion the support may be needed within other areas of the building.
- Assist the Building and Facilities Supervisor in maintaining the facilities occupied by Nesta within 58 Victoria Embankment. This will include but not be limited to:
- Assist in managing the facilities service so that Nesta's facilities are maintained to a very high standard with fast response times.
- Monitor the service contracts for office services and ensure they are carried out in line with best practice, ensuring value for money is maintained at all times.
- Supporting the team in the day-to-day running of the common parts of the building.
- Managing the postal and delivery services for Nesta in an efficient and timely manner.
- Oversee the provision of cleaning to all the kitchen areas and meeting rooms is of an excellent standard.
- Maintaining required levels of towels, tea, coffee, milk and sugar etc in Nesta kitchens.
- Monitor all office equipment, reporting any issues/defects to the Building team.
- Ensure the office space is free from Hazards and act as Nesta's Health and Safety person in the Building and Facilities Supervisors absence.
- Carry out basic maintenance repairs such as replacing screws, door handles etc.
- Maintaining required levels of photocopier paper, stationery and office supplies.
- Assembling furniture or any other items that may need assembling after delivery.
- Maintain a thorough knowledge of safety, emergency and evacuation procedures.
- Ensure the Ground Floor Events space, cafe and sixth floor lounge, terrace and meeting rooms are maintained to the highest standards, reporting issues to relevant staff for action.
- Oversee the usage of Nesta's meeting rooms, ensuring they are maintained to the highest standard.
- Setting up and attending quarterly tenant meetings, minuting any actions.
- Responsible for a series of tenant events to be designed and arranged with the assistance of the rest of the Building Team.
- Ensuring health risks associated with DSE use are controlled and the requirements of the Health and Safety (Display Screen Equipment Regulations are met)
- Other general duties to ensure the smooth running of Nesta's facilities.
- Minimum GCSE qualified or equivalent qualification or experience that demonstrates ability to operate with the required level of literacy.
- Able to work in a busy and professional facilities management environment.
- Basic knowledge of Display Screen Equipment (DSE) assessments
- Basic knowledge of mechanical and electrical services (for example: air conditioning and lighting).
- Demonstrable experience of liaising effectively and appropriately with a wide range of people such as employees, contractors and tenants in a professional manner.
- Knowledge in monitoring and recording stock levels.
- Demonstrable knowledge and training of basic Health and Safety.
- Demonstrable ability in managing multiple tasks in a timely but effective manner.
- Computer literacy including word processing and spreadsheets; knowledge of Building Management systems would be advantageous.
- Some heavy lifting and carrying of bulky items may be needed on some occasions.
- A flexible approach to working both independently and part of a team.

Hours: This is a full-time role but we offer a range of flexible working arrangements and encourage our people to take advantage of them. Some out of hours and weekend work.
