This is a permanent position based in Shoreditch, East London, paying 21-28k per annum depending on experience.
The Role:
Were on the lookout for a fantastic and energetic Office Manager \/ Executive assistant who will be responsible for creating & maintaining a pleasant and effective working environment in our two Shoreditch offices alongside providing administrative support to our CEO and MD.
The ideal candidate will thrive in a busy environment often undertaking multiple tasks at once and keeping everything running smoothly behind the scenes. Youll be a key part of the team being a people person who is wants to create and maintain strong relationships with everyone.
Youll have exceptional organisational skills but will also bring a creative energy to the team helping the HR manager to streamline processes and identify areas for improvement, such as coming up with exciting new event and wellbeing ideas.
Day to day responsibilities include:
Executive Assistant
Serve as Executive Assistant to the trees CEO and MD, including organising diaries, booking meetings, appointments, and coordinating travel arrangements as needed
To have access as required to the CEO and MDs email inbox and highlight any urgent emails or actions arriving in the inbox
Monthly expense reconciliation for executives
Document preparation and minute taking for monthly board meetings
Be in charge of efficiently and safely filing confidential documents
In charge of creating, amending and sending out NDAs and client contracts
Provide personal support where necessary
Office manager
Ordering and organisation of office supplies, couriers and equipment when necessary, alongside staff health and safety programs, and other matters enabling smooth day-to-day office operations
Manage office budgets
Answering the phone
Greeting visitors and organising lunch for internal and external meetings when necessary
Key holder to company inventory of programs and subscriptions
Organise and audit company systems, databases and procedures
In charge of correspondence with suppliers (e.
g.
cleaners and energy providers) and ensure we are getting the best deals from our providers, being constantly on the look out for good offers in the market (e.
g.
phones)
Partner with HR manager to maintain and promote company policies
Liase with team and IT when they need support and coordinate on any equipment needed
Organise fixes for any office maintenance issues
Maintain office efficiency as we grow, researching and implementing any systems or processes that may assist with this
Assisting with the organisation of company events and meetings
Assist teams or HR with the organization and booking of interviews
Provide adhoc support to the team when needed for example with the organization of photoshoots
The ideal candidates' skills and experience:
Ideally you have some experience in an admin\/PA related role
Good organisational and planning skills with the ability to multi-task
Great verbal and written communication skills
A confident person who is able to build relationships easily
Excellent MS office skills, particularly word and excel
Experience working\/ making amends to legal contracts would be a bonus
