Job description
We currently have the opportunity for an experienced office manager with your experience to join our Green Investment Group, Offshore Wind business. This is a multi-faceted role, primarily overseeing the smooth running of the London head office and managing the Executive Assistant population.
This is a fast-paced and demanding role requiring empathy, positivity, critical thinking and confidence, as well as exceptional time management skills and a proactive approach. Reporting into the Chief Operations Officer, the role delivers to and interfaces with stakeholders across all levels of the business.
With the business overseeing projects in multiple European jurisdictions, this is a London based role.
Your responsibilities will be:
Office Management:
- oversight of delivery of all 'front of house' aspects of the business
- maintaining office provisions including stationery, kitchen supplies, etc
- coordinating facilities and technology maintenance.
- regular internal and external liaison on behalf of leadership, including written correspondence
- expense processing
- supplier invoices
- event planning for both internal and external functions
- printing, binding, scanning, and filing
- document logistics across multiple European locations
- directing press inquiries appropriately
- provide executive assistant support when required to senior members of staff.
Executive Assistant Management:
- performance management such as annual Career Development Conversations and Performance Appraisal meetings
- executive to Executive Assistant allocations therefore managing the balance of each role ensuring optimised delivery
- recruitment including temporary, contract and permanent hires.
To be successful in this role you will have: a strong background in both people and office management; demonstrated solution focus and ability to respond and re-prioritise in a fast-moving, ever-changing landscape; excellent organisational and planning skills with strong attention to detail; strong written and spoken English with other languages highly regarded; comprehensive PC skills, including Intermediate Word, Outlook, Excel and PowerPoint using Microsoft Office 365; excellent verbal and written communication skills; ability to work with various personality types; practical experience with office administration and reporting systems, preferably Concur and Coupa; thrive in a dynamic business where accuracy, hard work and flexibility are imperative; and exercise appropriate judgement and discretion, especially when handling confidential information.
