Job description

My client is a small, high profile charity with offices across the UK. They help young people from low income backgrounds enter universities and professions through programmes of mentoring, internships, university application support and skills development.

The Operations Support role will be well-suited to someone who is focused on the best ways they can support the aims of the charity as well as those of our participants and partners. The Operations Support Officer will be responsible for supporting the delivery of the Foundation's operations work to ensure that the charity can operate successfully and deliver its mission. The Operations Team provides services including finance, HR, risk and safety, governance and GDPR.

Full training will be given to develop you in to the role. You must be immediately available.

Person Specification:

- Excellent interpersonal and communication skills

- Strong administration skills

- Experience of using Microsoft Office, particularly Excel functions

- Excellent attention to detail when undertaking tasks

- Understanding of the requirements and sensitivities of confidential information, such as Personal Data and financial records.

- Ability to work as part of a small team

- Finance administration experience desirable

- Hard-working and efficient

- Self-starter, who takes a problem-solving approach to their work, and is confident in escalating issues or concerns as needed with ability to prioritise and manage varied tasks

Main Responsibilities

The Operations Support Officer will be responsible for:

- Using Microsoft Office to undertake a variety of tasks; including mail merges, tracking & maintaining expenditure records, drafting letters & documents

- Supporting the running of HR and recruitment administration by contacting candidates and scheduling interviews, as well as ensuring applicant and current and past staff information is recorded, stored and removed appropriately

- Supporting the running of day-to-day finance activity; queueing payments, creating invoices and responding to staff queries

- Data entry and collation to maintain records on database and keep up to date

- Supporting the management of UK-wide offices; including obtaining quotes and ordering supplies & services, sorting post, providing assistance to staff with Operations issues and escalating if necessary

- Taking minutes in meetings and typing up an electronic record as required

This is a 6 month contract and a fantastic opportunity for a candidate who would like to develop their all round operational skills in a socially driven, impactful environment.
