Reference No 17837Job Title PA to Group Heads of Strategy & TechnologyType PermanentSalary Range CompetitiveDivision Business ServicesSub Division Business ServicesDepartment Information Technology ()Location 55 Baker StreetKnight Frank is looking to hire a highly motivated, results driven PA to support the Group Heads of Strategy, Risk and Operations and Information Technology.You will also be supporting the Operations Manager in offering solutions, ideas and helping to make judgements and decisions on behalf of your team as and when required.Responsibilities__________________________________________________________________________________________Management Support & CoordinationPA support to Group Heads, maintaining schedules through extensive and proactive diary and email management; organisation of internal / external meetings and viewings and conference calls, including preparing any required papers beforehand.Board Meetings and team Strategy Away Days; coordination of all relevant meetings including preparation of Board packs. Minute taking and ensuring actions are followed up.Presentations; coordinate and manage internal presentations where applicable with our in-house creative teamCorporate travel arrangements; plus preparing detailed itineraries and travel packs where necessaryBusiness CoordinationActing as an Ambassador for the SRO and IT departments teamMaintain collaborative relationships with clients, suppliers, managers and employees.Business Planning coordination (bi-annually); working with the Operations Manager on the spring and autumn business planning process and helping to coordinate for their team(s).Financial;Monthly travel sign off, signing off costs, database subscriptions, supplier invoice processingExpense claim coordination for the two Group HeadsTeam CoordinationTeam meetings; attend team catch ups and WIP meetings, minute taking and ensuring actions are followed upAppraisal co-ordination for their team and six monthly 1:1's.Working with the rest of the business support network to ensure best practices are shared, communication is continued and helping other teams when there are pressure points.Processes & Efficiency CoordinationSupporting the Office Managers with the process procedures to ensure a streamlined service for their teams.File saving and sharing where appropriate including setting up and managing MS Teams for the Group Heads.Project Coordination & ManagementEvent management; working on some events; including project managing some of their team events from the initial brainstorm to briefing marketing, researching venues, creating invites, helping create supporting collateral, managing the RSVP lists, welcoming the clients at the event, etc.Foundational Technology SkillsMicrosoft Office 365; Word, Excel, Outlook, PowerPoint, OneNote, Teams, Share Point and Teams.Adobe AcrobatSocial Media for business purposes; LinkedIn, Twitter, Facebook, Yammer, Google+, and InstagramFinancial; Working LifeThis role will evolve over time. You will be working closely with the EA / Operations Managers, who support the COO and other Business Services departments, and will be required to coordinate cover support.NB.
