Job Description

a) Providing administrative support to Assessment Officers involving: assessment setting co-

ordination (agreeing deadlines and dates for meetings, receipt of questions and marking

guidelines, formatting to UoL template); distributing draft and final exam papers and

coursework; booking rooms for exam boards; liaising with external partners where

appropriate; providing administrative support around accreditation arrangements; ensuring

coursework mark sheets are reviewed and payment is requested for marking. Supporting

and guiding the Programme Director, Module Leaders and Online Tutors in these areas.b) Coordinate the recruitment of the Online Tutors including: advertising the roles, arranging

interviews, co-ordinating training and arranging contracts. You will also be responsible for

ensuring that each teaching session is sufficiently staffed with a Module Leader and the

requisite number of Online Tutors.c) Monitor and manage the performance of all Online Tutors across the modules, ensuring

that they are completing the tasks outlined in their job description. Regularly update the

programme team and the Head of Student Relationship Team on performance. Discuss

engagement levels with the Online Tutors and if necessary find replacement tutors and

terminate contracts. Conduct a performance review for each tutor at the end of each session

of study.d) Be the main point of contact for Online Tutors and assist them with any enquiries, re-

directing if necessary.e) Support the Programme Director, the Head of Student Relationship Team and UoL teams

during the development stage of the programmes and feedback any issues to the SRM

team.f) Managing financial tasks including: requesting payment for Online Tutors, raising purchase

orders; setting up new suppliers; goods receipting; maintaining budget spreadsheets.

The Successful Applicant

Essential:

· Relevant experience of working in an HE examinations context.

· Previous experience of working in an office environment and as a team member.

· Highly organised, ability to manage a varied workload and keep to agreed deadlines for tasks.

· Ability to manage multiple stakeholder relationships and work well under pressure.

· Possesses excellent written and oral communication skills and have a good eye for detail.

· Experience of minute-taking and good numeracy skills.

· Possess a positive and proactive attitude to work and problem solving.

· Ability to work independently.

· Previous experience of organising and co-ordinating events, such as training and webinars.· Knowledge of the UK and International Higher Education sector.

· Previous experience of working within a Higher Education Programme Team.· Previous experience of supporting/working on distance learning programmes

· Excellent ICT skills expected of an executive assistant post-holder including but not limited to, the use of Word, PowerPoint, Excel and databases

· Experience of managing budgets.

· Experience of using a finance system for day-to-day departmental finance Desirable

· Experience of using web/blogging platforms such as Wordpress.

· Experience working in secretariat roles.
