Location: Harrow Council, Forward Drive, Harrow, Middlesex, UK, HA3 8NT

Hours of Work: Monday to Friday 7am-12pm or 12pm-5pm or 1pm-6pm (25 Hours per week)

Overview of a Business Support Administrator
Pertemps have an exciting opportunity within Harrow Council for a self-driven and motivated Business Support Administrator to join an expanding team.
The role of Business Support Administrator has a competitive pay rate of between £11.11 per hour to £12.79 per hour. Other benefits include excellent training and support for career development and 21 days holiday (excluding Bank Holidays).

The Main Purpose of a Business Support Administrator:
  • To administer the scanning, indexing and printing of documents, undertaking relevant checks for quality control purposes (where appropriate).
  • To take part in staff rotas to ensure that the business support team has efficient cover for the needs of the business area, as required.
  • To maintain the required working knowledge of the range of computer systems, office machinery and equipment in the service area to ensure effective use of the facilities available in performing the job.
  • To use Microsoft office to produce documents including letters, reports, newsletters, spreadsheets and presentations in accordance with the specified brief or corporate style
  • To maintain an efficient paper and electronic filing and archive system in accordance with council policies and procedures.
  • To assist with financial administration including processing claims, receiving, coding and paying in income received into the Directorate, logging all cheques and having them signed for promptly and maintaining income and expenditure records for the area, in line with standing orders and financial regulations, where appropriate.
  • To receive, log and pass on customer complaints to the service team as appropriate.
  • To monitor and manage data from the appropriate database(s)/computer system(s) and/or websites, supporting in the production reports and statistical information as required.
  • To participate at directorate meetings as appropriate and agreed in conjunction with the Business Support Service Team Leader and Hub Manager.
  • To set up appointments, maintain diaries and book rooms/premises for meetings and events as required, booking catering and equipment and liaising with other venues as necessary
  • To be responsible for the collection, receipt and the sorting and distribution of incoming, outgoing and internal post and for postal record keeping, taking responsibility for action in line with business processes.
  • To undertake general administrative duties including, filing, photocopying, collating papers and typing standard letters etc.
About you, the successful applicant will have:
  • Knowledge of general administrative practices including information technology
  • The awareness of customer needs and expectations within a business support environment
  • Knowledge of good administrative practice including financial administrative processes
  • Knowledge of working to statutory and legislative standards within a business support function
  • Knowledge of the principles of delivering excellent customer service
  • Working knowledge of computer systems and databases processes for delivering an effective business support service.
  • Experience of dealing with customers both internal and external, dealing tactfully and sensitively with clients and other staff members by telephone and face-to-face
  • Experience of general administrative processes including filing, photocopying, dealing with post, etc
  • The ability to work flexibly on own initiative, planning and prioritising work to meet deadlines and possible conflicting demands, and the adaptability to adjust to changing circumstances with the minimum of supervision
  • The ability to work within a financial environment, maintaining financial records, providing advice, ensuring financial regulations are complied with
