Job description

Assistant Stock Co-Ordinator

Hospital Stock Co-Ordinator

*Hours: *

37.5 hours per week Monday - Friday

*Leave Entitlement: *

20 days per annum (increasing with length of service) plus bank holidays

*Location of Role*

Bolton or Sheffield (with regular driving duties around hospital locations)

*Key Requirements of the Post*

The main responsibilities of the role are to assist the Hospital Stock Co-Ordinator in ensuring all Hospitals have sufficient supplies of essential items, to ensure all planned activity goes ahead as scheduled. That each sites inventory is managed by the means of monthly stock takes, which are planned and processed by the Hospital Stock Co-Ordinator.

*Key Tasks*

* Creating a stock count of items for each sites stock takes through the use of Navision.
* Work closely with the Hospital Teams to support the completion of stock takes, ensuring that the process and results are completed accurately and on time
* Make corrections to items held on the system i.e. expiry dates, lot numbers, quantity etc to ensure the system remains a true reflection of current stock status.
* Manage and process any site to site transfers of stock, through working with the Hospital Manager and ensuring that these transfers are accurately recorded.
* Raise Purchase orders for items required by all sites.
* Place web orders on suppliers' websites.
* Liaise with suppliers regarding delivery dates, credit notes etc.
* Ensure all Purchase orders are received at site promptly, chase any outstanding orders
* Create/edit stock items as and when required using the Navision system.
* House keep stock inventories on Navision as and when needed to ensure the stock details remain accurate.
* Travel between sites for training and delivery purposes
* Training colleagues on receipt and delivery of stock and processing stock takes
* Completion of any Stores projects or other ad hoc duties as directed by line manager and for the efficient operation of the Stores department.
* Act as a point of contact and deputise for Line Manager during periods of absence
* Report any issues to Line Manager.
* Supporting the operational delivery of the Stores function when required through: -
* Receive deliveries, checking against delivery notes and purchase order. Any discrepancies to be investigated and resolved.
* Put stock away into main stores, following any necessary storage provisions (such as temperature controls, COSSH, controlled etc.)
* To prevent stock becoming obsolete and minimise losses, regularly audit expiry dates and rotate stock as necessary.
* Pick and pack clinical stock as requested by each SpaMedica hospital.
* Communicate any central stock shortages to hospital staff and arrange for alternative items to be distributed where possible.
* Participate in regular and annual stock takes, across all stock areas and all hospitals. On occasion this may require attendance at any SpaMedica hospital or site.
* Data entry in various systems (mainly Microsoft Excel, Navision).

*Experience*

*Must Haves: *

* Experience working in a warehouse/stores, 'pick & pack' environment.
* Experience of ERP, Microsoft Dynamic NAV within a Stock / Purchasing environment
* Experience carrying out stocktakes.
* Ability to manage own workload.
* Excellent communication skills; both written and verbal.
* Good working knowledge of Microsoft Excel, Word, and Outlook.
* Ability to work under pressure and meet deadlines.
* Excellent attention to detail.
* Ability to learn new systems.
* Good customer service skills.
* Clean driving licence
* A flexible approach to the requirements of the business
