Job description

Under the direction of the Clinic Supervisor, this position is responsible to consistently handle a high call volume while working on assignments and delivering quality customer service. The Appointment Clerk will interact with other departments, clinic personnel, and outside providers in a professional and friendly manner, to create and maintain a positive relationship with our internal and external customers.

  • Consistently stay logged in to the Queue during working hours except breaks and lunches
  • Able to process and handle a high call volume
  • Schedule appointments in accordance with physician and/or department guidelines
  • Complete appointment reminder calls in accordance to EHR guidelines
  • Utilize the telephone script with patient correspondence
  • Must be familiar with insurance contracts and unacceptable insurances such as other health insurance and other Medical groups
  • Cancel/reschedule appointments according to physician schedule changes
  • Greet patients courteously, and smile
  • Exhibit proper telephone etiquette
  • Schedule referral appointments according to protocol
  • Review the schedule for any errors and make the appropriate corrections
  • Mail new patient packet to all new patients
  • Handle complaints in a responsible and professional manner
  • Must have working knowledge of the following programs:
  • NextGen
  • EZ Net System
  • Insurance Websites
  • NextMD
  • Perform all projects handled by the department such as SWV, and HEDIS
  • Understand how to schedule Interpreter services for scheduled appointments.
  • Maintain your work area in a clean and orderly manner
  • Link insurance to medical chart at time of appointment scheduling.
  • Process appointment reminders via mail, phone and Phreesia.
  • Any other duties assigned

Requirements:

High school diploma/certificate required

Working knowledge of appointment scheduling and insurances preferred.

Computers skills and experience preferred.

Bilingual abilities are a plus (English/Spanish)
