We are seeking a driven, independent and highly-organized Assistant / Operations Manager to support a top Bay Area Realtor to grow and scale their real estate business.

This is a great opportunity to provide administrative, operational and management support in the field of real estate sales and marketing. The ideal candidate must be a self-starter, passionate about building and implementing operations/systems and delivering unparalleled customer service. They must also be prepared to assist in the hiring, training, and management of new team members as the business grows.

The Assistant / Operations Manager is a highly assertive, passionate, organized, people-oriented expediter who operates with high urgency. They have strong communication skills and naturally connect with others. When people who know them describe them, they point to their energy and passion. They are dynamic, fearlessly resourceful and will push to get answers.

This individual possesses a strong desire to have a position where they lead and influence others. They are natural leaders who embrace succeeding through others, bottom-up leadership and building a team. They view learning as the foundation of their action plan. They understand basic financial reporting (e.g P&Ls and spreadsheets) and how to use these to make the right business decisions. They are highly responsible and accountable.

The Operations Manager is committed to completing tasks the right way with a high degree of quality. They are deeply committed to supporting the team leader in achieving greater levels of success, and developing their own skills and developing into a supportive leader on the team.

As the success of the team grows, this individual will be an integral part of hiring, training and leading additional team members to ensure all administrative tasks of the lead agent's business continue to be completed to high standards with maximum efficiency. A successful candidate will be efficient and passionate about teamwork and want to succeed at a high level.

Responsibilities

  • Provide day-to-day administrative and operational support to Lead Agent.
  • Manage complex calendars, current projects, customer fire drills and various project needs.
  • Organize internal and external meetings.
  • Lead and provide support and follow up on various businesses and special projects as assigned by Lead Agent which touch on a broad range of topics.
  • Conduct, research and create reports and/or presentations.
  • Act as the right hand to Lead Agent.
  • Prepare materials for meetings including planning, agenda preparation and keep minutes.
  • Manage internal and external communications including email and phone correspondences.
  • Assist Lead Agent with prioritizing, strategizing and keeping focused on key tasks and projects.
  • Maintain database for Lead Agent and Team.
  • Build, implement and manage all systems for clients, lead generation, database management and back office support
  • Support the transaction - Oversee all transactions through closing
  • Coordinate marketing events and client activities
  • Manage website, blog sites and social media
  • Act as a liaison between clients and agents
  • Compile and distribute weekly/monthly reports to clients (buyers and sellers)
  • Manage the contract to close process
  • Maintain and update a complete lead follow-up system
  • Keep agent informed about challenges and issues that need to be handled
  • Is responsible for hiring, training, consulting and holding accountable all administrative team members
  • Willing to put in the extra hours for success and growth!

Qualifications

  • Must have a proven track record with management, high level/executive administration or relevant experiences, preferably in the real estate industry
  • Positive, can-do attitude and highly adaptable with a demonstrated ability to succeed in a fast-paced sales environment
  • Self-starter, intelligent, eager to learn new things, grow professionally and personally
  • Proven organizational and project management skills with meticulous attention to detail, ability to work under pressure and consistently make deadlines
  • Strong time management skills, ability to assess and manage priorities, excellent verbal and written communication skills
  • Self-directed and work independently toward objectives with a sense of urgency
  • Approach job duties with a sense of ownership, confidentiality, commitment, honesty, loyalty and integrity
  • Flexible and willing to work to respond to emerging needs, last minute changes and assist with other projects in an "all-hands-on-deck" manner
  • Solutions-oriented, can think fast on their feet while remaining cool under pressure
  • Flexible with working days and hours as needed
  • Bachelor's Degree preferred
  • Proficient with Google Apps
  • Must have a valid driver's license and working car
  • Real Estate License preferred but not required.
  • Technologically savvy and able to learn new programs quickly and able to troubleshoot common issues;
  • Experience managing people and projects
  • Possess a high level of self-confidence and demonstrate the ability to take initiative
  • Have excellent attention to detail and high-level accuracy with documents
  • Ability to assess, prioritize and act quickly
