ABOUT SHIFAMEDFounded in 2009 by serial entrepreneur Amr Salahieh, Shifamed LLC is a privately held medical technology incubator focused on the development of novel medical products to address clinical needs in the rapidly evolving fields of cardiology and ophthalmology.As Shifamed's portfolio of companies continues to expand, we are looking for creative medical device engineering talent interested in working in a fast-paced and innovative environment.POSITION DESCRIPTIONShifamed is looking for a dynamic Human Resources and Office Coordinator to provide administrative support to Shifamed and its portfolio companies. This individual will wear many hats and will assist with front office, recruiting, benefits, and employee record keeping, among many other areas.A successful candidate will have outstanding written, verbal, and interpersonal communication skills. They will be expected to be a conceptual thinker with fantastic problem-solving, organizational and time management skills, and the ability to multitask and adapt in a fast-paced environment.Given that many of the essential functions of this role must be provided on site or in person, this role requires full COVID-19 vaccination (subject to any exemptions or accommodations due to medical or religious reasons).POSITION RESPONSIBILITIESFront office management:Greeting and assisting guestsReceiving and transferring phone callsMail sort and deliveryUpkeep of front lobby areaAssist with basic HR related inquiries or requestsMaintain and organize human resources files, records, and documentationData entry and maintenance employee records within our HRIS (Paycor)Initiate the employee onboarding process and schedule new hire trainingAssist the internal recruitment process by managing job postings within our applicant tracking system (Paycor Recruiting) and other online job boardsHigh volume of interview scheduling (phone, virtual via Zoom, on-site and some travel coordination)Coordinate recruiting activity with external agencies and recruiting vendorsAdminister employee benefit plans:Work with benefit broker to process enrollments, changes and terminations.Conduct monthly reconciliation of benefit billing and takes corrective action when necessary.Complete employment verification requestsAssist with planning and execution of employee events and activitiesHelp the team stay on trend with current HR practices and suggest improvements for current HR processesMay perform other related duties as assignedDESIRED SKILLSUnderstanding of human resource principles, practices, and proceduresQuick learner with strong technical abilitySelf-starter that can work effectively with minimal supervisionExcellent written and verbal communication skillsWorks well under pressure and meets tight deadlinesMeticulous attention to detailEDUCATION & WORK EXPERIENCEAssociate degree in Human Resources or related field and/or equivalent experienceMinimum of 2 years of office/administrative experiencePrior experience handling confidential informationPrior experience providing support for Human Resources strongly preferredProficiency in Microsoft Office (Outlook, Word, PowerPoint, Excel, etc.)Experience working in a start-up environment is a plus
