Provider Processing / Imaging Clerk

Preparation Clerk are to prepare documents received from the Mailroom and internal departments for imaging by Document Class, Document Type, and date. The Preparation Clerk supports Indexers by researching UTL's (Unable To Locate social security numbers) on paper documents when the Preparation Clerk's work is finished. The Preparation Clerk's job duties include but are not limited to: Organize the mail to be prepped by Document Class, Document Type, and date. Sort mail received from internal departments by Regular or Archive scan status and Document Type for prepping. Remove staples and paper clips. Discard carbon copies. Separate documents by social security number. Claims documents are separated by patient and provider in addition to the participant's social security number. Verify the social security number on the mainframe for documents with an incomplete or missing social security number. Copy and return original documents as required by the document type. Stamp "Illegible Copy" on all pages of a document that is not legible. Insert document separators between documents in batches to be scanned with bar coded document separators. Batch the mail in batches of 50 documents per batch for scanning. Complete the information on the batch sheet for scanning. Indicate single sided or double sided scanning, and verify the number of documents in the batch. Initial the batch sheet to indicate the batch is ready to scan. Deliver the high-level priority batches to the scan stations. Place all other batches in the cabinet where they are retrieved for scanning. Research UTL documents in paper form using the mainframe. If the social security number is not found on the system, the document is copied and placed in a batch for archive scanning. The original document is returned to the sender with a cover letter requesting additional information. Inform the Imaging Supervisor or Provider Processing Supervisor immediately of backlogs of mail to be prepared for scanning.

Qualifications for a Preparation Clerk are as follows: High school degree preferred, PC skills: "Windows" literate, Ability to type with reasonable speed and accuracy, Ability to use ten-key for data entry, Filing skills - alpha and numeric
