Job description

Position Overview:

The Intake Coordinator will coordinate with NAPA's clients to ensure all of their intake paperwork has been completed correctly and accurately within a timely manner. The Intake Coordinator reports to the Chief Program Officer and is an integral part of the Front Office Team.

Requirements:

  • Bachelor's degree with 1-2 years' experience or 2-4 years of experience in a therapy or medical office environment as an Intake Coordinator or similar role.
  • Computer competence across Microsoft Office Suite (Outlook, Excel, Word, PowerPoint, etc.) with the ability to quickly learn a variety of other online software systems
  • Strong organization skills
  • Ability to multi-task, shift focus across tasks as needed, and manage priorities
  • Working knowledge of an electronic medical records system (Raintree) preferred
  • Strong problem-solving skills
  • Confident and personable with the ability to get along with a wide range of personalities
  • Excellent customer service

Responsibilities:

  • Responsible for the entire intake process from start to finish.
  • Follows up with clients after they begin the intake process to ensure that they provide all of the necessary paperwork.
  • Creates a client profile in RainTree and uploads all necessary documentation.
  • Places clients on the waiting list and provides them with regular updates as to their status.
  • Provides new families with a tour of the facility on the first day of their therapy.
  • Work with clients and their insurance companies to receive authorizations prior to the start of their therapy.
  • Responsible for ensuring that new therapists are properly credentialed prior to their first day of work.
  • Provides support to the Front Office Team as needed.

Physical Demands:

While performing the essential functions of this job, the incumbent must be able to do the following: stand for extended periods; sit for extended periods; bend and reach for filing and other job-related functions; climb up and down stairs; bend, stoop, and lift to move and retrieve materials; pull, push, and lift; reach both above and below shoulder height. Specific visual abilities include close vision, color vision, depth perception, and the ability to adjust focus. Must be able to visually inspect work. Manual dexterity to operate computer and other office equipment required.
