SUMMARY
Motivated lease administration professional to perform lease administration procedures in the Los Angeles Regional office. Responsibilities include facilitating the accurate and timely abstracting and transmittal of lease documents, as well as tracking, verifying, reporting, and disseminating lease data for approximately 12 million square feet of commercial real estate in the California and Denver regions.
JOB RESPONSIBILITIES
* Review and accurately abstract all fully executed lease documents into lease management system (Yardi)
* Distribute in a timely manner finalized lease information and documentation to the records and legal departments and/or upload to Document Management System
* Review and verify move notices and commencement agreements and perform timely updates to lease management system
* Manage lease options and encumbrances in lease management system
* Verify leasing checklist items and commission calculations
* Coordinate and verify space reconfigurations with the Space Design Analyst to ensure updated floor plans and correct building measurements
* Assist leasing department with modeling and analysis of complex lease transactions, as needed
* Assists the Senior Lease Administrator in answering lease-related questions and lease management system inquiries
* Assist with lease research for pending deals, leasing reports, tenant buyouts, and/or early terminations as necessary
* Accurately maintain subtenant report with information such as square footage, base rent and expiration date
* Oversee and help coordinate monthly holdover and natural expiries process
* Ensure compliance with company policies and procedures and IFRS and REIT guidelines
* Participate in development of various policies and procedures pertaining to lease administration and the leasing software
* Timely and accurately prepare and/or assist with monthly, quarterly, annual and ad hoc reports
* Assist accounting department various questions regarding operating expenses, percentage rent and security deposits
* Manage departmental administrative tasks
* Participate in department and regional initiatives
* Assist with acquisitions as necessary
* Actively participate in annual building area reconciliations and sign-offs
QUALIFICATIONS:
* Bachelor's degree in business or related field, or equivalent experience
* Minimum of four years related experience in commercial real estate, preferably with high-rise office buildings
* Strong knowledge of commercial real estate documents and the leasing process; apply this understanding in performing job responsibilities
* High customer service orientation with demonstrated ability to build and maintain strong working relationships with key customers
* Able to provide a high level of attention to detail for reliable accuracy
* Must consistently demonstrate excellent communication (both verbal and written), organizational, and analytical skills
* Knowledge and understanding of the basic accounting and finance principles and familiarity with their applications flow and impact with respect to real estate analysis
* Proficiency in PC based software, especially MS Excel and Word, Propidex, VTS, and Yardi
* Must have the ability to accurately develop various types of logical reports
* Exceptional interpersonal skills, positive attitude, friendly, helpful and responsive
* Ability to multi-task, prioritize, and finalize projects
* The ability to work on site in the Regional Office consistently during regular business hours is an essential function of this position. The position is not eligible for telecommuting.
