Job DescriptionSeligman Investments is looking for an administrative assistant to join the team.Overview of responsibilities: Schedule meetings/conferences, prepare presentations, internal communications, travel arrangements, expense reports and invoices, and coordinate department programs, offsites, special events or conferences. Respond to ad hoc requests, manage small business-as-usual tasks such as filing, copying, researching printer problems, and/or managing a conference call.Responsibilities With direction from leader, manage calendar and meeting prioritization. Schedule meetings and/or conference calls by interacting with internal partners and/or external clients/partners to coordinate calendars, accommodations, meeting materials, and supplies. Prepare expense reports, invoices, presentations, internal communication, travel arrangements, and other miscellaneous reports. Coordinate/administer department programs (e.g. recognition, timekeeping, budgets, supply management, etc.), offsites, and special events or conferences. Respond to ad hoc requests, manage tasks including filing, copying, responding to problems with printers, etc., and/or participate in projects representing the team (e.g. researching issues or questions about policies or practices, managing a conference call, etc.). Working hours will be 6:30am to 3pm, or 7am to 3:30pmRequired Qualifications Associate degree or equivalent. 1-3 years of relevant experience. Proficiency with computer programs, such as Microsoft Word, Excel, PowerPoint, Access, along with administrative programs, like Outlook, Ariba Buyer, XMS, Concur, etc. Ability to multi-task, quickly change direction, and independently prioritize work in order to support multiple people. Ability to anticipate needs and make independent judgments given limited availability of leader.
