About the Role

Provide daily administrative support to Senior Vice President Human Resources - Growth & Gap Inc. Functions. This role will act as a trusted partner to the executive by supporting, but not limited to, the following high-level activities: calendar management, milestone meetings, travel arrangements, expense reports and additional tasks/special projects. In this role, you are responsible for administrative support to the numerous functions and organizations in partnership with the Head of HR, as well as assigned HR project work. This role is ideal for someone interested in learning about Human Resources with a focus on HR project work in an effort to build HR skills and career opportunities over time.

What You'll Do

* Independent, proactive judgment is required to plan, prioritize and organize diversified workload. Be confident, professional and comfortable making and communicating calendar changes, with little to no involvement from executives.
* Handles confidential and non-routine information and explains policies when necessary.
* Play active role supporting the teams. Including, but not limited to, problem solving, onboarding of new team members/contractors, invoice/purchase order processing and office supply maintenance.
* Plan and coordinate meeting logistics for department/function meetings and team-building activities, including travel arrangements when necessary.
* Email review of executive's in box to pro-actively follow up or bring attention to time sensitive or urgent matters.
* Maintenance of financial reports or other business information that is updated regularly for executives.
* Update organization charts, phone and email distribution lists monthly.
* Provide ad hoc support to leadership teams functions, departments, and administrative assistants as department resource and point of contact on behalf of leader.
* Special projects as needed.

Who You Are

* Excellent verbal and written communication skills
* High degree of professionalism and confidentiality, maintain discretion and professional standards
* Ability to communicate and build partnerships with all levels of management
* Strong organizational and planning skills to ensure timely and accurate execution of responsibilities
* Flexible, adaptable, able to work under pressure and prioritize multiple and competing demands; time management skills
* Normally receives little instruction on daily work, general instructions on newly introduced assignments. Works on assignments that are moderately difficult, requiring judgment in resolving issues or in making recommendations
* Ability to understand how various pieces of the business fit together
* A demonstrated team player with ability to resolve conflict
* Deals with ambiguity well
* Ability to teach others how to navigate or get information
* Strong service-oriented, positive attitude
* 3-5 years of related experience preferred. Advanced computer skills with proficiency with all Microsoft applications
