Treez seeks an experienced Administrative Assistant to support the CFO of our dynamic start-up organization, a leader in an exciting emerging industry. The successful candidate will be proactive with the demonstrated ability to work independently and collaboratively on a range of confidential assignments. You will be part of a friendly, supportive, high-performing G&A team passionate about contributing to Treez's continued success and growth.

Administrative Assistant

Responsibilities

  • Compose and distribute professional email communications, memos, documents and forms on behalf of CFO and CEO
  • Assist in the preparation of regularly scheduled reports
  • Coordinate and draft documents for signature: offer letters, NDAs, commission documents, stock agreements, etc
  • Organize and schedule meetings
  • Plan meetings and take detailed minutes
  • Develop and maintain a cloud-based (Google Drive/Box) filing system for commercial documents, financial documents, HR records, stock admin, and other
  • Maintain company policies and procedures
  • Order office supplies and research new deals and suppliers
  • Manage virtual mailbox
  • Maintain contact lists
  • Organize occasional team events
  • Other ad-hoc administrative, clerical, or support requests as directed by CEO and CFO.

The ideal candidate will have:

  • Exceptional accuracy and attention to detail
  • Demonstrated ability to handle sensitive and confidential information and documents with discretion
  • Excellent written and verbal communication skills
  • 4+ years experience as an Administrative Assistant, Virtual Assistant, including at least 2 years supporting senior business leaders, preferably in high tech although other relevant experience will be considered
  • Proficiency in MS Word, Powerpoint and Google Docs, Box, Docusign, Carta
  • Excellent time management skills and the ability to prioritize work
  • Demonstrated problem solver, solution-oriented
  • Strong organizational skills with the ability to multi-task
  • Appropriate sense of urgency
  • Demonstrates the high EQ needed when working in an intense environment with highly dedicated people with various points of view
  • AA degree or equivalent; additional qualifications as an Administrative Assistant a plus

Work Arrangement

  • 30 - 40 hours per week
  • Work remotely from the SF Bay Area. A physical office is likely in 2022, in which case the office may require fractional support
  • Report to CFO. Support CEO and CFO
  • $30 per hour
  • Medical, Dental, Vision and 401K

Remote-First and Covid-19 Vaccination

Treez is currently a remote-first workplace, meaning that for most roles nearly all work can be accomplished from home with occasional in-person meetings and travel. All employees at Treez must be vaccinated against Covid-19 if they are to meet with other Treez employees; legally mandated exemptions are excepted. At its discretion, Treez reserves the right to revise remote-first policies and Covid-19 protocol.
