Job Description - The Front Desk Coordinator will help to get projects organized and completed on time. The Front Desk Coordinator will be interacting with all members of the management team, including the CEO, COO, CFO and will handle a wide range of general administrative and executive support related tasks. The successful Front Desk Coordinator must be exceedingly well organized, communicate effectively, flexible and enjoy the administrative challenges of supporting an office of diverse people. Additional responsibilities for the Front Desk Coordinator include the following:


Responsibilities:

  • Open office daily, pick up newspapers and turn on office equipment as needed in the morning.
  • Meeting prep: printing weekly and monthly agendas and sending calendar reminders.
  • Prepare and distribute email reminders with agenda for meetings.
  • Run errands to banks and other retail or restaurants locations, as directed.
  • Maintain conference rooms and kitchen and other office areas as needed.
  • Maintain office file system, start new files annually and as needed.
  • Any special projects for finances/taxes/office as needed.
  • Coordinating catering for board meetings, dinner reservations, office celebrations, etc.
  • Property/building maintenance correspondence for work orders/office needs.
  • Support accounting with copying checks, verifying account for deposit, enter into tracking log, deposit checks at banks, download bank statements.
  • Coordinate travel arrangements & itineraries, confirm upgrades and reservations, as directed.
  • Book travel and restaurant reservations for senior executives.


Position Requirements

  • Proficient in Microsoft Word, Excel, and Outlook, Yardi and Quickbooks.
  • Professional, reliable, flexible and have a positive, can-do attitude.
  • Excellent attention to detail with strong customer service skills and ability to prioritize
  • Proactive attitude and volunteers willingly to take on additional responsibilities and assist with other team members' projects.
  • Strong interest in real estate.


Education

  • Front desk, reception and administrative experience preferred
