Job Description:

SUMMARY

The Operations Assistant position is a highly visible one, requiring a welcoming and professional presence and the capacity to handle a variety of front-facing duties thoroughly and efficiently. This is a part-time position.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Evening and weekend support for building and daily business operations
  • Perform morning opening or evening closing procedures (depending on shift) for building
  • Classroom AV support throughout day
  • Light building maintenance
  • Security - duties include enforcing University ID policy - checking photo IDs, signing visitors into guest log, managing visitor parking and bike lots.
  • Enforcing departmental procedures and policies.
  • Mail and deliveries - process incoming and outgoing mail, including coordinating overnight services like Fed Ex and DHL - may include trips to post office. Maintaining postage machine and 4th floor mailroom. Break down delivery boxes daily.
  • Troubleshoot copiers and printers
  • Deliver copy paper and changing toners
  • Answering phones, greeting and reception tasks
  • Processing incoming and outgoing mail, including overnight delivery service such as Fed Ex and DHL - may include trips to post office
  • Creating and laminating signs
  • Monitoring and distributing office supplies
  • Supporting breakrooms, café and other common spaces
  • Special event support - moving chairs and tables
  • Delivering fans, space heaters and air purifiers as requested
  • Campus walk throughs
  • Additional duties as requested


Requirements:

QUALIFICATIONS

  • Must be able to work evenings and weekends
  • Must have customer service focus and attitude
  • Must have excellent interpersonal and communication skills.
  • Must be punctual, reliable, and well organized.
  • Must work well under pressure.
  • Must be able to return to specific work tasks, while experiencing frequent interruptions.
  • Must take initiative; be self-directed, organized, responsible and efficient and be able to work without close supervision.
  • Must be able to handle complex and routine situations with professionalism, courtesy and efficiency.
  • Must be proficient in Word, Excel, and Outlook email / calendar.
  • Willingness to improve upon current practices and procedures.
  • Warmth of personality and good listening skills are a plus.
  • Must be able to lift 30 lbs.

EDUCATION and/or EXPERIENCE

  • Preferred: Bachelor's degree from a four year college or university,
  • 1-2 years related experience and/or training; or the equivalent combination of education and experience will be considered.

NOTES TO CANDIDATE

Working Conditions -- Duties are primarily performed in an office environment at a desk or computer terminal, typically, Monday through Friday.
