Who You Are:

We seek a professional, experienced, organized, take-charge individual to keep the Program Management and Clinical Outsourcing teams organized, on track, and moving forward. Candidates must possess solid written and oral communication skills, the ability to multi-task efficiently in a fast-paced environment, and the ability to work independently with initiative, being proactive and thoughtful. This individual will ensure that the team's productivity is enhanced by managing calendars and schedules and managing multiple high-priority assignments. They will foster and maintain strong working relationships within all company levels, outside vendors, and contacts. Their work is completed with minimal supervision, projects are of the highest quality, and follow-through is outstanding.

This person will report to the Senior Manager of BBS Program Management and provide organizational and administrative support for the Program Management and Clinical Outsourcing Departments at BBS. In this role, you will promote the connection within departments and other BBS central functions.

Responsibilities:

  • Supports and manages department-level projects for BBS Program Management and Clinical Outsourcing and maintains productive cross-functional relationships with other central business partners such as Finance, Legal, SciOps, Enrollment Hub, etc.
  • Partners with administrative assistants to schedule various intra- and interdepartmental meetings; alerts and organizes PM/CO departments of upcoming BBS company events and processes
  • In support of the BBS Program Management department:

  • Manages/gatekeeps/owns the calendars of Program and Project Management Team
  • Plans, supports, coordinates, and schedules internal and external review committees with BBS senior management and affiliates (Program and Portfolio Reviews, Protocol Reviews, Clinical Advisory Board, etc.); ensures timely delivery of pre-read meeting materials
  • Assists the department in the development of a BBS PMO (Project Management Office); organizes Program Management SharePoint and Egnyte pages with project management tools and program information
  • In support of the BBS Clinical Outsourcing department:

  • Coordinates and schedules governance and partnership meetings with CROs/clinical vendors; distributes and archives documents, slide decks, action items
  • Manages and updates the Master Vendor Tracker; manages the Vendor Contacts List; may support team and other key stakeholders to build, implement, and maintain a vendor database
  • Manages contract signature process with clinical vendors per corporate policies
  • Files final vendor contracts in central and affiliate level file structures
  • Updates Outsourcing SharePoint and Cloud file storage with tools, templates, documents, vendor information

Education, Experience & Skills Requirements:
  • Bachelor's degree preferred
  • 3+ years of scheduling and/or calendar management experience in a high-volume environment
  • Basic understanding of Biotechnology and previous experience in a drug development environment
  • Exceptional organizational skills, meticulous attention to detail, good time management skills, and relentless dedication to high-quality work output that maximizes productivity and efficiency
  • Able to multi-task and juggle multiple calendars, teams, and requests
  • Strong ability to be self-directed; ability to anticipate and prepare for the needs of others
  • Impeccable follow-thru skills
  • Resourceful and consistently demonstrates a positive, can-do attitude
  • Excellent interpersonal, verbal, and written communication skills
  • Ability to drive schedules and agendas with a more profound understanding of the context
  • Experience with Microsoft Office (Outlook, PowerPoint, Word, Excel, etc.) is required; experience with Smartsheet is a plus but not required
