Job description

Duration: 1 Year 2 month / 14 months (+possibilities of extension)

Pay Rate - $30/hr to $33/hr

The administrative assistant provides administrative support to ensure smooth daily operations of the Intercontinental Commercial Operations team based in Foster City. Tasks include:

1. Support function head and team members' work schedule by facilitating with stakeholders

2. Coordinate function meetings and other administrative activities (propose agenda & venue, track progress on actions, take minutes)

3. Work closely with function heads and team members on event management, such as commercial training's and team events

4. Make arrangements for function head, team members and visitors in preparation for meetings, events, travel, transportation, hotel arrangement, reimbursement, business card etc.)

5. Open POs for the team

6. Budget management: Actuals vs Plan by month; Quality checking with finance for accuracy, completeness and ease of use

7. Conduct basic data processing and business analysis under supervision

8. Lead special assigned projects if required (e.g., team coordination/goal tracking and ad hoc projects)

Minimal Requirement:

1. Requires a minimum of a high school diploma plus 3-5+ years administrative experience. 3. Advanced knowledge of MS Excel, Work, PowerPoint

2. Excellent communication skills

Preferences

1. Good project management and time management skills 3. Proactive and willing to learn

2. Able to work under pressure and strict deadlines
