JOB REQUISITION. Manager Time Entry. LOCATION. SAN RAMON. JOB DESCRIPTION. Robert Half is seeking a Manager Time Entry who will be responsible for daily productionin the Time Entry Department and Print Centers in the U.S. and Canada.The Time Entry team is responsible for accurate and timely processing of candidate and consultant timesheets in support of daily payroll/payments to employees. This includes accessing timesheets from various 3rd party vendor management systems (VMS) and entering time into RH's on-line time and reporting payroll system. It also includes frequent collaboration with RH branch personnel and Payroll to resolve timesheet related issues. The Print Center is responsible for the printing and distribution of payroll checks and advices for candidates, consultants, and staff and invoices being sent from the Billing Department to our clients.The Print Centers are also responsible for weekly printing and distribution for Accounts Payable disbursements, payroll card enrollment/distribution, and other miscellaneous printing needs from Payroll, field, and corporate departments. Specific responsibilities include: Leads by example to set high standards for processing and customer service. Cultivates relationships and partnerships with Field and Corporate personnel. Manages the corporate and organizational vision, values, direction, goals and objectives within areas of responsibility. Provides leadership and direction, manages daily activities, develops metric reports and optimizes processes. Develops department and team member objectives and communicates to staff. Manages talent acquisition, staff development, performance management, employee relations and coaching/counseling. Resolves escalated or complex issues. Leadership activities include management of remote/hybrid/onsite schedules, Inclusivity & Diversity efforts, responses to Survey feedback, and team rewards & recognition. Manages the daily production activities of the Time Entry Department and Print Centers in North America. Evaluates root cause of processing and system issues and escalates appropriately. Develops and evaluates action plans/proposed solutions for production issues. Documents and communicates production and SLA related issues or internal control compliance issues to payroll operations leadership. Resolves escalated inquiries and/or provides guidance to Supervisors. Identifies, resolves, or escalates complex production or system issues. Participates in development of department and team production metrics to ensure proper staffing levels and to measure team performance. Manages documentation and maintenance of business processes within the established repository and processes are aligned between operational centers. Develops and implements necessary business process controls to ensure accuracy and completeness. Monitors and enforces adherence to corporate policies, procedures, and SOX controls. Partners with internal and external auditors to ensure quarterly audit requirements are met timely. Makes recommendations to strengthen controls and escalates any deficiencies to leadership. Manages and serves as a liaison between RH internal departments and field personnel to implement VMS process changes and updates. Partners with internal departments toward resolution of exceptions and communicates and escalates to leadership. Resolves complex VMS account escalations. Manages manual and automated VMS processes and exceptions and partners with Efficiency Team in automation of VMS timesheet processing and exception handling. Manages implementation of corporate system enhancements. Manages technology issues and enhancement/automation efficiencies and ensures user acceptance testing is performed when applicable. Manages/leads change management activities including development of training documentation and delivery for new systems and/or upgrades as needed. Qualifications: Bachelor's degree in Business Administration, Management or Finance or related field preferred. 8+ years related experience in a high-volume operational environment with degree. 10+ years related experience without degree. 4 years minimum prior management experience or demonstrated leadership qualities required. Experience in managing a large operational department (20+ people). Experience managing in a high volume, deadline driven transaction processing environment. Experience working with auditors, both internal and external. Experience with system integration design, impacts, implementation, or systems background a plus. Intermediate proficiency in Microsoft applications (Excel, Word, Outlook, PowerPoint). Ability to manipulate lines, move data, construct formulas, build macros, use vlookups and pivot tables. Practical understanding of internet technology and search techniques. Previous demonstrated experience with major ERP systems (preferably Peoplesoft and/or Workday), or equivalent technical aptitude required. Ability to adapt to shifting work priorities and multi-task. Ability to lead/mentor individuals to collaborate with team to produce deliverables. Ability to meet or exceed quality standards. Ability to demonstrate strong critical thinking and problem-solving skills. Ability to analyze complex problems, identify potential solutions and apply sound decision-making. Ability to learn quickly, grasp and apply new concepts including technology. Ability to coordinate daily production activities, prioritize work, and be detailed and service oriented. Ability to effectively communicate ideas orally and in writing and diplomatically when handling sensitive and escalated situations. Ability to understand and operate in an environment with regulatory/compliance requirements. Ability to demonstrate a proven track record of developing high performance individuals and fostering a customer-service culture.
