Overview:

The HR Recruiter & Volunteer Coordinator is responsible for the direct management of the entire recruitment and onboarding process of all new hires and volunteers. This position works closely with the hiring manager to determine staffing needs and requirements, manages all postings and advertising, pre-screens applications, and may assist with scheduling interviews. Conducts background and reference checks; conducts face-to-face onboarding meetings for completion of new hire packet; coordinates and schedules appointments with Employee Health Nurse, Occupational Health and Education Coordinator; organizes and sets up monthly New Hire Orientation; completes accurate data entry of all new hire data within the HR systems; and sets up initial education assignments in the Learning Management System. This positiion is also responsbile for the direct management of all hospital volunteers, including management of schedules and work activities. Actively participates on a variety of teams/committees, as assigned.

Responsibilities:

Manages the recruitment process by working closely with the hiring manager (HM) to determine staffing needs and requirements. Initiates postings in the applicant tracking system and coordinates advertising, as requested; pre-screens all submitted applications and refers qualified candidates to the hiring manager.

Proactively manages and monitors all active job postings and applications; maintains accurate tracking data on all submissions and initiates conversations with HM to ensure timely responses and/or identification of additional advertising needs. Seeks new and innovative ways to source candidates.

Completes the onboarding process for all new hires. Prepares and sends the Offer Letter, conducts background and reference checks, and prepares new hire packets. Conducts face-to-face onboarding meetings with the new hire to complete all required paperwork; schedules appointments with Employee Health Nurse, Occupational Health for physical capcity screenings; and schedules appointments for clinical applicants with Education Coordinator for skills assessments. Notifies HM of the new hire's availability to start work upon successful completion of pre-employment screenings. Also conducts onboarding activities with contract staff and/or student interns.

Responsible for accurate data entry of new hire data into all applicable HR and education systems and manages the employee ID badge system; prints badges for new hires and replacement badges for current staff, as needed.

Responsible for coordinating the monthly New Hire Orienation. Manages the orientation agenda and ensures all speakers are prepared and available; prepares materials, setups up orientation room, and greets new hires upon arrival; breaks down room upon completion and records attendance.

Manages the hospital's volunteer program. Interviews and selects new volunteers; orients them to the hospital and their work assignment; manages schedules and communicates with department managers as appropriate.

Schedules regular meetings with the volunteers to share information on hospital activities, and organizes the annual volunteer recognition luncheon.

Supports HR department projects and initiatives through active participation as requested; provides backup support to HR team member's, as needed; serves as tier one support to new hires, employees and department managers on issues related to Human Resources transactions, payroll, benefits, employee apparel program, timekeeping, pay rates, etc.

Completes employment verifications as requested, either by employee or external source; ensures compliance with HR policies.

Qualifications:

Education: Bachelor's degree in Human Resources or other closely related field, or an equivalent combination of education, training and experience.


Experience: Minimum two (2) years previous experience in recruiting; hospital HR experience preferred.


License or Certification: PHR or SHRM-CP certification desirable.


Required Skills or Knowledge: Knowledge of state and federal laws and regulations affecting employment (FLSA, EEOC, DFEH, ADA, etc.). Must be able to work in a fast paced environment with the ability to juggle and prioritize multiple tasks. Requires excellent verbal and written communication skills, strong organizational skills, and strong personal computer skills, including proficiency in Excel, Word, and Outlook. Requires a high degree of motivation and initiative; must be able to communicate effectively with a diversity of individuals at all organizational levels; ability to maintain confidentiality and build relationships based on trust; demonstrates ethical practice and cultural awareness.
