Position Purpose & Focus:

The Program/Project Support Analyst will support the activities of multiple project managers in the tracking, updating, and scheduling of Residential Construction Projects. The Analyst will support all related client business processes and procedures required for efficient design & customer project facilities installation. The employee will provide feedback on new or updated business and/or customer processes to operational procedures and protocols; and communication and education about the use of tracking tools required to monitor, measure, and communicate the need for corrective action to the project manager. This will require the employee to frequently interact with customers to receive and document customer requirements in order to expedite change with the PM(s).


Essential Duties & Responsibilities:

  • Gathers documents and researches data on assigned topics, using TPM databases, files, spreadsheets, or other sources.
  • As directed and according to established procedures and practices, may administer programs with minor departmental impact.
  • Evaluates the completeness of a customer request to ensure all relevant information is contained in the request package to ensure customer request can be fulfilled by project stakeholders.
  • Attends customer meetings and site visits as needed and directed by PM.
  • Requests and obtains missing information to enable work to move forward. This involves receipt of the initial submittal, the preliminary design, receipt of preliminary design approval from customer, receipt of the final design, the Bills & Contracts to the customer.
  • Assesses and informs PM if customer request meets all NDPD Planning requirements.
  • Provides information to appropriate stakeholders on changing project/product scope, policy, development, and implementation.
  • Provides ongoing two way communication of status, issues and actions to appropriate project stakeholders to maintain project progress. Notifies stakeholders of changes in the schedule affecting them.
  • Attends customer meetings and site visits as needed and directed by PM.
  • Updates information on projects and ensures systems are up to date daily with latest project information, especially Customer Commitment Dates and other milestone dates. Inputs all needed data in systems such as Tracker and DM, including the creation of related work orders when needed.
  • Prepares analysis and recommendations based on information from internal and external sources.
  • Works with other professionals and managers to organize and present multiple analyses in a unified structured format.
  • Creates and maintains records, logs, documents, files, or databases (Project Tracker, DM and/or other) for use in monitoring, tracking, and trending program/project costs, resources, schedules, and status for management. Inputs all needed data in systems, including the creation of related work orders when needed.
  • Coordinates preparation of presentation materials. Supports presentations given by other analysts and supervisors.
  • Interfaces occasionally with Planning, Scheduling, Construction, Billing and Financial Accounting groups to resolve issues pertaining to safety/compliance, rights checks, easements, permits and construction.
  • Updates status on the performance of work to install client infrastructure through Districts, Regions, Field Operations and/or other involved parties to ensure work is completed. Keep up to date on progress of construction.
  • Follows up with cross-functional development teams to ensure issues are addressed and problems are resolved.


Qualifications and Success Factors:

  • Associate's Degree or an equivalent combination of education, training, and experience
  • General knowledge of project management and operational policies, procedures, and practices.
  • Typically possesses two or more years of experience in an analytical position
  • Must be able to efficiently communicate verbally to all levels of the organization, and in some capacities conduct trainings and presentations.
  • High marks in any capacity of administrative assisting in a construction management environment preferred.
  • Must be highly proficient in Microsoft Office 365. Must be able to utilize Microsoft Suite to capacity for the purposes of personal organization and team driven efforts, especially scheduling.
