SUMMARY:
Under the direction of the Controller, the Account Clerk will perform critical tasks for the Finance Department, the foremost being invoice processing. This individual must be able to primarily work independently on assigned tasks and must also be able to work collaboratively with other members of the Finance Team to help meet deadlines on a variety of accounting functions and tasks. The ideal candidate will possess the ability to produce at a high volume while maintaining accuracy.
ESSENTIAL DUTIES & RESPONSIBILITIES:
Maintain accurate information in MIP (accounting software);
Review and code accounts payable invoices based on program guidelines of each grant or funding source;
Create journal entries as needed to move invoices to correct grant or grant program year;
Receive, review and forward for approval all emails from vendors and subcontractors for invoice processing in MIP;
Act as liaison between Finance and Program to ensure tasks are completed with quality control checks;
Reconcile all invoices and balance of vendor accounts;
Maintain vendor files, i.e., address, telephone number, etc.
Prepare and process payments accurately and timely based on Controller approval;
Identify and resolve any invoice/account discrepancies;
Track all payments and transaction records;
Review and process all cash requests, employee reimbursements, stipends and travel advances;
Ensure all invoices, cash requests, etc. have all appropriate signatures and approvals;
Perform timely and accurate filing of accounts payable records;
Provide excellent customer services to agency staff, vendors, partners and funding sources;
Other duties as assigned.
EDUCATION and/or EXPERIENCE
High school diploma or equivalent required;
Accounting certificate from college or technical school (associate degree in accounting preferred);
Two years of experience handling accounts payable functions.
LANGUAGE SKILLS
Ability to read and interpret documents;
Ability to write routine reports and correspondence;
Ability to speak effectively with groups of customers or employees of the organization.
MATHEMATICAL SKILLS
General math skills;
Ability to calculate figures for payroll and accounting purposes;
Ability to apply basicbookkeeping and record keeping principles.
REASONING ABILITY
Ability to apply common sense understanding to carry out instructions furnished in written and oral form;
Ability to deal with problems involving several concrete variables in standardized situations.
CERTIFICATES, LICENSES, REGISTRATIONS
California Driver License;
Proof of current automobile insurance.
Job Type: Full-time
Pay: $18.38 - $25.04 per hour
