Job description

  • Part time position requiring 25 hours per week
  • Answers all incoming phone calls and emails from Specialty Merchants and other personnel regarding the program and forwards appropriate documentation.
  • Maintains all correspondence and documentation in regards to the Specialty Leasing program in an organized manner. Documents program activities appropriately and includes noteworthy information. (i.e., opening/closing of tenants). Processes all information and correspondence daily and distributes to the appropriate personnel.
  • Generates all License Agreements and distributes accordingly.
  • Attends weekly staff meetings at designated Property, meets with General Manager to review program as needed.
  • Must be on site at Property at least 2 full days per week; must be available as needed for new merchant installations and move ins; hands on visual merchandising assistance.
  • Obtains all pertinent information and documentation for lease execution and move-in requirements (i.e., security deposits, insurance certificates, business information, sign approval, etc.); track for on-going compliance.
  • Maintains Excel Budget Workbook on a monthly basis for re-forecasting annual income.
  • Collect weekly and/or monthly sales reports of all Specialty Merchants. Prepares Monthly Sales Summary.
  • Coordinates with property bookkeepers to assure timely payment of Specialty Merchants rent and percentage rent obligations and delinquency collections.
  • Maintains computer-generated system of prospecting contacts and Specialty merchants in the center.
  • Assist Regional Director in monitoring the maintenance and upkeep of the carts/RMU's and maintains current inventory list of all fixtures; order supplies as necessary.
  • Assist Regional Director in enforcing all clauses of the Specialty/Temporary License Agreements.
  • Keeps abreast of competitive Specialty Leasing trends in the industry/region.
  • Assist Regional Director in monitoring visual presentations and overall operations of the program. Perform daily walk through of center to maintain professionalism and compliance of rules and regulations.
  • Prepares Travel and Expense Voucher and forwards to the Specialty Leasing Manager and Department Head for approval. Any expenses in excess of $25.00 should receive pre-approval.
  • Provide general support to all leasing, management, and office personnel as needed at the center(s) with PRI approval.
  • These "Duties & Responsibilities" are to provide a general outline of the general responsibilities typically associated to the position of Specialty Leasing Assistant. However, other responsibilities and/or special projects may be assigned from time to time that are not consistent with those listed above.

Pay: $30,000.00 per year
