OVERALL RESPONSIBILITIES:

The Front Desk Sales Coordinator is responsible for greeting and registering guests, providing outstanding guest service during their stay, settling the guest accounts upon completion of their stay while providing administrative support for the Director of Sales and General Manager related to selling and marketing the hotel.

JOB SUMMARY:

Primary responsibilities include: registering guests, making and modifying reservations, setting up and managing group blocks, answering phones, and concierge duties. Providing attentive, courteous, and efficient service to all guests prior to arrival and throughout their stay, while maximizing room revenue and occupancy. Performing general office duties to support Sales & Marketing (i.e. filing, sending emails, typing, faxing, and copying). Preparing sales related documents throughout the sales process (i.e. proposals, contracts, banquet event orders, rooming lists). Promoting awareness of brand image internally and externally. Gathering materials and assembling information packages (i.e. brochures and promotional materials). Use sales techniques that maximize revenue while maintaining existing guest loyalty. Answering guest questions about property facilities/services including but not limited to space requirements, meeting times, equipment, menus, billing, etc. Serve as the point of contact for clients and communicate with them by phone and email to respond to questions and requests. Handle account details so that all pertinent aspects of account are complete and well documented.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

· Approach all encounters with guests and employees in a friendly, service-oriented manner.

· Maintain high standards of personal appearance and grooming, which include wearing the proper uniform and name tag when working (per brand standards).

· Maintain regular attendance in compliance with Silverwest Hotels standards, as required by scheduling which will vary according to the needs of the hotel.

· Comply at all times with Silverwest Hotels standards and regulations to encourage safe and efficient hotel operations.

· Maintain a friendly and warm demeanor at all times.

· Greet and welcome all guests approaching the Front Desk in accordance with Silverwest Hotels and brand standards.

· Answer and respond to all incoming telephone calls in accordance with brand and Silverwest Hotels standards.

· Handle requests for information, mail and messages in an efficient and courteous manner.

· Answer guest inquiries about hotel service, facilities, and hours of operation.

· Answer inquiries from guests regarding restaurants, transportation, entertainment, etc.

· Establish and maintain good communications and teamwork with fellow employees and other departments within the hotel.

· Follow all Silverwest Hotels credit policies.

· Be aware of all rates, packages and special promotions; Be familiar with all in house groups; Be aware of closed out and restricted dates.

· Obtain all necessary information when taking room reservations and follow rate quoting scenario.

· Be familiar with all Silverwest Hotels policies and House rules as well as hospitality terminology.

· Have knowledge of and assist in emergency procedures as required.

· Handle check-ins and check-outs in a friendly, efficient and courteous manner.

· Fully comprehend and be able to operate all relevant aspects of the Front Desk computer system.

· Ensure logging and delivery of packages, mail and messages as needed to guests and meeting rooms.

· Use proper two-way radio etiquette at all times when communicating with other employees.

· Attend meetings as required by management.

· Identifies, qualifies, and solicits business through interactions with existing account contacts and hotel guests

· Works collaboratively with other members of the hotel team to ensure sales efforts are coordinated and executed.

· Understand competitors' strengths and weaknesses and knows how to sell against them.

· Assists Sales Leader with correspondence, sales agreements, proposals, and thank you letters.

· Contact existing group contacts to follow up on group block utilization and cutoff dates

· Assist in the preparation of required reports in a timely manner.

· Conduct a professional, thorough site inspection of the hotel with clients, exhibiting key features and benefits of the hotel.

· Works with internal departments regarding customer needs.

· Establish and maintain client relationships by meeting and greeting onsite contacts.

· Coordinating the set up and maintenance meeting room.

· Learn and become the go-to expert on all brand systems related to group sales.

· Perform any other duties as requested by management.

REQUIREMENTS:

· High School Diploma or equivalent required.

· Two or Four Year College Degree preferred.

· Must possess a positive and upbeat personality with a desire to deliver outstanding customer service to our guests.

· Must have the ability to multi-task, be detail-oriented, and be able to problem solve to effectively deal with internal and external customers.

· Excellent telephone sales skills with overall ability to effectively close a sale.

· Excellent verbal and written skills.

· Exceptional organizational skills.

· Exhibits self-confidence, energy, and enthusiasm.

· Works collaboratively to achieve team and individual goals.

· Proficiency in business software, including MS Excel and Word.

· Ability to understand, execute and support customer service standards and applicable brand standards.

· Flexible and long hours sometimes required.

· Light work - Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently or constantly to lift, carry, push, pull or otherwise move objects.

· Ability to stand during entire shift.

· Must be able to convey information and ideas clearly.

· Must be able to evaluate and select among alternative courses of action quickly and accurately.

· Must work well in stressful, high pressure situations.

· Must be effective in handling problems in the workplace, including anticipating, preventing, identifying and solving problems as necessary.
