As HR Executive Coordinator, you will coordinate and perform general administrative duties, as well as, take the lead in planning and organizing various HR projects and deliverables to facilitate and support the administration of our Talent Management System and on-going HR digital transformation. As the Human Resources Executive Coordinator, you will participate and assist corporate HR leaders on various HR/TMS initiatives in the functional areas of global Total Rewards, Talent Acquisition and Leadership Development, as well as lend support to other corporate transformations and initiatives.

As HR Executive Coordinator, you will coordinate and perform general administrative duties, as well as, take the lead in planning and organizing various HR projects and deliverables to facilitate and support the administration of our Talent Management System and on-going HR digital transformation. As the Human Resources Executive Coordinator, you will participate and assist corporate HR leaders on various HR/TMS initiatives in the functional areas of global Total Rewards, Talent Acquisition and Leadership Development, as well as lend support to other corporate transformations and initiatives. Core Responsibilities:

  • Engage regularly and work collaboratively across the Corporate HR team, and interact/network regularly with the Global HR / corporate community to help facilitate and support monthly, quarterly and/or annual Human Resources and Talent Management System (TMS) processes in an accurate and timely manner. This includes using your creativity and ideas, in partnership with SVP-HR, Corporate HR leaders, to develop presentations and other communications (i.e. written, digital, video) in alignment with Global Talent Management strategies.
  • Effectively coordinate and manage key aspects of the onboarding and offboarding processes through our Talent Management System, ensuring appropriate documents are completed (i.e. job postings, offer/promotion letters, announcements), new hire orientations and required training on internal systems and updating of applicable HR/people platforms (UKG), are completed in an accurate and timely manner.
  • Assist in the preparation of Board of Director materials, specifically related to the Compensation and Management Development Committee (CMDC) materials including scheduling meetings, preparation and distribution of timelines/deliverables/project plans, reviewing and updating draft presentation materials, preparing and sending Committee materials in advance of Pre-Committee meetings and uploading final materials to the Board Portal in advance of Committee Meetings
  • Effectively manage the preparation, scheduling, and distribution of various employment activities and executive compensation matters to efficiently execute monthly, quarterly and/or annual processing requirements and deliverables including compensation, letters and tally sheets; LTI communications, equity award program, offboarding checklists and various correspondence/letters.
  • Support and assist with the planning, coordination and scheduling of the annual Global Talent Reviews throughout the 4-Step process. Actively support the planning and coordination of various Leadership Meetings (Global Leaders Conference, Enterprise Leadership Development Program, offsites, etc.) including meeting logistics, arrangements and scheduling (venue identification, travel/hotel accommodations, vendor engagements, etc.).
  • Take the lead and facilitate key annual reporting requirements such as EEO-1 and Vets Reporting oversight and coordination.
  • Effectively leverage TMS' digital framework via UKG to access dashboards and analyze data to simplify workstreams. View opportunities for digitalization/innovation/automation to enable continuous improvement and enhancement of workstreams.

Qualifications:

  • Minimum 3 to 5+ years' experience providing executive (C-Suite) level support in a public company.
  • Advanced knowledge of Microsoft Office (Outlook, Word, Excel and PowerPoint), SharePoint, third party vendors, Board portal, e-billing systems, and MS Teams. Experience with UKG/Ultimate Software highly desirable.
  • Self-motivated, self-directed and organized. Excellent time management and follow-up skills. Works calmly under pressure and effectively manages multiple workstreams and tasks.
  • A team player with excellent customer service and communication skills.
  • Strong analytical and problem-solving skills. High level attention to detail and accuracy is required.
  • Outstanding written and verbal communication skills. Capable of developing presentations, letters, memos and other correspondence on behalf of SVP-HR and Corporate HR leaders.
  • Proven ability to handle/maintain confidential information with utmost discretion and sensitivity. Exercises good judgment and diplomacy.
  • Strong proactive approach, taking the initiative where appropriate, and looking beyond the immediate ask to anticipate future needs or requirements.
  • Recognizes priority, understand complexity of a situation / interdependencies, and use sound judgment to make decisions. Is motivated to think outside-of-the-box, while holding themselves accountable to achieve desired results and outcomes. Effective approach to management of executive's time and proactive communication/support when meetings or other activities change.


Education Requirements:

  • Bachelor's Degree in Communications, Marketing or Human Resources is required.
