Property Management aspect of this role includes:
  • Assist with Requests for Proposal/ Requests for Qualifications process on project and seasonal contract work, coordinate engagement/ confidentiality letters, develop contract documents, follow Waiver of Lien Release process, and other project related administrative work.
  • Create and process seasonal tenant mailings or reminder calls for sales reporting, collections, invoice corrections, etc.
  • Support tenant move out/ move in, contract document exchanges, bid/ invoice corrections and other routine operations procedures as needed.
  • Manage the procedure to set up new vendors, maintain vendor files and coordinate payments.
  • Regularly update Tenant/ Vendor contacts and Emergency call lists, service contract schedules, property utility lists, etc. as requested by property manager.
  • Provide administrative support for the financing, property transfer, due diligence and acquisition process as requested.
  • Request and evaluate insurance certificates per Tenant lease/ Vendor contract requirements for all properties and entities to verify that certificates meet contract obligations.

Accounts Payable aspect of this role includes:

  • Manage the accounts payable process for all invoices for both property and corporate entities, including complete data entry into the firms automated accounts payable system.
  • Assist in the check cutting process as directed by Accounting Manager.
  • Ensure that all accounts payable documents are regularly filed.
  • Provide requested support for Year End Accounting functions, auditors, CAM reconciliations.
