Job description
Position Summary:
The Administrative Assistant will assist with office management and handle duties for management and other employees as needed. We are looking for an individual who is efficient and comfortable being a member of a team. The ability to multi-task, while maintaining complex schedules and managing administrative support is essential in this position. The ideal candidate for this job is resourceful, a good problem solver and organized. Strong written and verbal communications skills are a must.
Nature of Work
The primary purpose of the Administrative Assistant is to provide administrative support to help ensure the efficient operation of the office. This role will support managers and employees through a variety of tasks related to organizational and administrative support.
Responsibilities:
· Organize and schedule meetings and book travel arrangements both domestic and international for senior staff.
· Assist with regular reporting; submit and reconcile expense reports.
· Take accurate minutes of meetings when needed.
· Help create presentations for leadership team in either excel or power point.
· Draft correspondence on behalf of other members of the management team.
· Develop and update procedures to make them more efficient.
· Assist with Know Your Customer Documentation.
· Run errands for Executive team as needed.
· Additional project support as assigned.
Minimum Qualification Requirements:
· 3-5 years of experience in an administrative role in a corporate environment.
· Strong professional writing skills.
· Flexibility with hours, able to work overtime as needed.
· Strong skills in MS Word, Excel, PowerPoint and Outlook.
· Responsible, reliable, and trustworthy, with proven track record of working with confidential information.
· Excellent interpersonal, organizational, and communication skills with strong sense of tact.
· Able to interact well with employees and business partners of all levels and backgrounds.
· Self-motivated, proactive and able to work well both independently and collaboratively using good business judgment and common sense.
· Can-do, positive, flexible attitude and demeanor, and willing to roll up sleeves as needed in a dynamic, fast-paced environment.
· Detail-oriented and also able to multi-task as needed.
· Bachelors degree preferred.
