Futures Without Violence (FUTURES) is a dynamic national organization committed to ending violence against women and children around the world. Through the creation of innovative programs, FUTURES has provided national leadership in efforts to improve systemic responses to domestic and sexual violence, dating violence, stalking, human trafficking, and other forms of violence against women and children. Focusing on sustainability and effective program development, our programs bring together experts and emerging leaders in the field to advance best practices for ending and preventing violence. We seek a dedicated and energetic individual to work with us to provide administrative support for a number of our programs, and for the DC office.
PROGRAMS & POSITION
FUTURES Learning & Leadership (L&L) Department provides education and hands-on technical assistance to individuals and organizations to facilitate transformative adult learning that inspires socially conscious change, and improves organizational development and individual leadership. The L&L offers a bridge between the educational and scientific theory of adult learning and its application to the myriad ways that adults learn both professionally and personally. The L&L recognizes that lifelong learning for adults is fundamental to social, political, racial, economic, and gender justice and provides the building blocks for transformative change across many different settings - legal institutions and systems, government and non-profit, educational systems, business and workforce development, and the healthcare system.
Reporting to the Director, the Administrative Program Coordinator will support daily operations, assist with logistical, technical and project needs, and coordinate department deliverables for all projects within the L&L department.
RESPONSIBILITIES
- Writing and Editing: Drafts, edits, proofreads and provides input on written communications including research, thought pieces, reports, concept papers, presentations, memos and letters, working in an iterative process with department. Makes recommendations on and fact checks content. Works with internal and external sources to craft materials, including marketing and communications staff and/or consultants.
- Administrative Support: Provides administrative support to the department, including the reproduction and coordination of conference/educational materials and preparation.
- Correspondence: Screens and handles correspondence and requests, referring as appropriate to other staff. Composes correspondence and memoranda from brief instructions or on own initiative. Interacts with funders, consultants, faculty, staff, and partners.
- Scheduling: Maintains calendar, scheduling internal and external meetings, noting events and appointments and including all necessary information and materials. Makes arrangements for meetings, coordinating with staff to be present and collecting and preparing relevant documents. Works with department to ensure that preparations for meetings are made in advance.
- Coordinator: Maintains a tickler system of all major department deliverables. Works with Director on maintaining this system and determining appropriate follow-up assignments.
- Travel: Arranges for travel, specifying times, dates, best connections, food, seat locations, car rental, etc., and sets up hotels and equipment. Prepares internal expense vouchers and receives/processes external invoices.
- Filing: Maintains department's electronic files as appropriate, determining the system best for quick recovery. Enters new contact information into the constituent database as well as Outlook contacts.
- Events: Assists with locating venues for events and serves as liaison between department and venue. Completes federal application and supporting documentation needed for in-person events. Provides on-site support for event registration and assists with set-up and breakdown. Coordinate with other staff regarding off-site events for talking points, meeting time and agenda.
- General: As appropriate, assists other teammates and works as a member of external coalitions to ensure the effective and efficient efforts of the department. Other duties as assigned, dependent on organizational needs and employee skills.

- Experience: Minimum three (3) years' administrative experience is required. Experience working with federal grants highly valued.
- Education: High School diploma or equivalent is required; higher education or training preferred.
- Communication Skills: Strong interpersonal, written, and verbal communication skills are required. An ability to compose, edit, fact check, review and revise a wide range of materials, including research, thought pieces, reports, concept papers, presentations, correspondence and basic reports is necessary. Critical thinking in assessing, compiling and disseminating information is necessary. Ability to interact well and to work as a productive team member is also required.
- Technology Skills: Computer literacy, including strong word processing experience, and strong working knowledge of Microsoft Office software. Working knowledge of Canvas or Articulate software preferred, with a willingness and ability to learn appropriate databases, spreadsheet and other computer programs.
- Project Management Skills: Strong organizational skills and attention to detail. Ability to prioritize work and adjust to multiple demands.
- Judgment and Discretion: Skill in determining matters of importance and exercising initiative in accomplishing any related tasks.
- Team Work & General Skills: Ability to work well independently and as a team member. Ability to take initiative, and follow tasks through to completion.
Working Conditions:
- Requires the ability to sit and work at a desk for several hours at a time.
- Requires the ability to travel and attend meetings, presentations and events outside the office, which may require occasional use of a motor vehicle for transportation to other locations.
- Work will require occasional weekends and/or extended/modified work days.
SALARY AND BENEFITS
This is a full-time, non-exempt, grant funded position. This position is for one year with a possible extension dependent on continued funding. The pay range is from $65,000-75,000/year, commensurate with experience. FUTURES offers a competitive benefits package.

COVID-19 considerations:
We are temporarily fully remote, and will transition into hybrid work starting January of 2022 in SF and DC. Employees who will be onsite are expected to provide proof of vaccination and wear a mask.
