Responsibilities:1. Communicates effectively via personal contact, phone, email and in writing with the following, including but not limited to, department team members, department leadership, hospital staff, community professionals, vendors and consultants.2. Coordinates and schedules appointments on behalf of the individuals supported. 3. Receives clients upon arrival in the department. 4. Answers and routes incoming telephone calls to appropriate team members. 5. Coordinates processes and procedures to ensure efficient operation of the department. 6. Efficiently and accurately uses computer for generation of reports, letters, forms and other communications or documents. 7. Responsible for copying and faxing documents to designated recipients. 8. Participate in cross coverage efforts with other secretaries/departments as directed. 9. Other duties as required. Other information:Technical Expertise1. Proficient secretarial skills are required2. Excellent communication skills, both verbal and written are required.3. Ability to work well under pressure to prioritize and complete required tasks and responsibilities in a timely and accurate manner.4. Must have exceptional organizational skills, coupled with the ability to work well with and adapt to various personalities.5. Must possess excellent customer service skills.6. Proficiency in the English language with excellent use of grammar and spelling is required. 7. Experience in health care is preferred.8. Ability to type 55 words per minute (WPM) coupled with excellent transcription skills is required. 9. Experience working with various levels within an organization is required.10. Experience working in Microsoft Office (Outlook, Excel, Word, PowerPoint) or similar software is required. Education and Experience1. Education: High school diploma or equivalent is required. 2. Certification: None3. Years of relevant experience: Minimum three (3) years of administrative assistant/secretarial experience is required.4. Years of supervisory experience: None.
