ROLE

We need an experienced Financial Assistant. You'll support a team that is responsible for transaction processing, reporting, policies and procedures and internal controls associated with federal and non-appropriated payroll, accounts payable (AP), petty cash, credit card programs and travel.

RESPONSIBILITIES

  • Analyze, investigate, and reconcile invoices
  • Prepare approval vouchers and obtain signatures
  • Enter invoice data into databases and general ledger(s)
  • Review invoices for accuracy and completeness
  • Match invoices and supporting financial records
  • Ensure sufficient funds have been obligated
  • Help plan and manage invoice payments
  • Log, track, and manage invoice data in financial system(s)s
  • Identify and resolve invoice and/or financial discrepancies
  • Ensure transactions are processed with accuracy and efficiency
  • Help disbursing agents process payments
  • Help ensure legality and control of bills
  • Work with appropriated and non-appropriated funds
  • Learn and apply knowledge of payment policies and procedures
  • Note payment terms and expedite payment processing to take advantage of discounts
  • Research and follow-up on past due balances
  • Prepare and reconcile monthly AP accruals
  • Assist with monthly reconciliations for AP and other general ledger accounts as required
  • Identify errors and propose correcting journal entries
  • Balance and reconcile accounts
  • Prepare financial reports, e.g., AP aging reports
  • Assist with 1099s and research at calendar year-end.
  • Maintain journals or subsidiary ledgers
  • Code financial transactions
  • Work with supervisor on unusual or non-recurring financial transactions
  • Respond to vendor inquiries and correspondence


BACKGROUND

  • Progressive and relevant experience with accounting and accounts payable procedures
  • Preference for experience with PeopleSoft
  • Preference for experience with government and/or non-profit clients
  • Proficient with Microsoft Office, especially Excel


EDUCATION

  • Preference for bachelor's degree

Regularly required to sit for extended periods up to 80% of the time; frequently required to move about to access file cabinets and use office equipment such as PC, copier, fax, telephone, cell phone, etc. Occasionally required to reach overhead, bend, and lift objects of up to 10 lbs. Specific vision abilities required by this job include the use of computer monitor screens up to 80% of the time.
