Job description
Futures Without Violence (FUTURES) is a national non-profit and social change organization that works to end violence against women and children around the world. We seek a dedicated and energetic administrative professional to support and coordinate the implementation of our Workplace & Economic Justice programs and provide administrative support to the DC office.
OVERVIEW:
The Program & Office Administrator will provide administrative and programmatic support to the Workplace & Economic Justice team and the new Washington policy center to be launched in 2022. In addition, this position will have oversight over the administrative functions of the DC office of FUTURES to include tasks such as organizing and improving office operations and procedures, and providing administrative and logistic support for briefings and events.
This is not an entry level role and calls for someone who seeks to improve office administration and processes for a high-paced team and office, and who can regularly exercise discretion and independent judgment.
RESPONSIBILITIES:
Program Support
- Monitors and refers training and technical assistance requests to appropriate staff.
- Maintains a comprehensive database of training and technical assistance activities, delivery, outcomes, and outputs.
- Coordinates and provides logistical support for training and technical assistance activities including peer learning exchanges, web-based trainings, webinars, and other meetings.
- Coordinates post-activity outreach to training and technical assistance recipients to collect data on the efficacy on services provided.
- Updates project management measures and generates progress reports for team meetings.
- Drafts and sends grantee/stakeholder outreach correspondence, such as e-blasts, calls for applications, or event invitations, in coordination with the communication teams.
- Compiles training and technical assistance data and activity summaries to draft grant reports.
- Assists with completing programmatic accountability and compliance measures for grant agreements, operational guidelines, and program reporting requirements.
- Drafts contracts and coordinates invoices and payment with the finance team.
- Prepares grant reports, memos, event registration materials, and other documents.
- Proofreads all written materials and ensures that all products and activities meet accessibility standards.
Office and Administrative Support
- Manages team training and technical assistance and office calendars.
- Assists with budget oversight including tracking monthly expense summary reports.
- Drafts requests for proposals, secures, and coordinates outside contractors and sub-grantees necessary to support programmatic goals and office maintenance and improvement.
- Coordinate facilities maintenance of office space and equipment including cleaning, maintenance, repairs, and security.
- Supports content development and maintenance of project webpages, web-based training, and courseware applications.
- Supports the operations of the DC office of FUTURES by providing administrative and logistical support to DC staff and projects, maintaining office systems and resources, and improving office efficiency, procedures, and processes.
- Prepares print and online materials and provides logistical and administrative support for DC office events, briefings, and meetings.
- Interfaces with HR and Operations to procure equipment and supplies, and facilitates onboarding for new employees, consultants, interns and fellows.
- Assist with overseeing and coordinating an office move.
EDUCATION, SKILLS, AND EXPERIENCE:
- Superior organizational skills and attention to detail; ability to prioritize and multitask.
- Firm command of Microsoft Office Suite (specifically Excel, Word, and PowerPoint), and Outlook; familiarity with web content management systems (CMS) and WordPress are a plus.
- Experience coordinating events including web-based training and/or webinars.
- Excellent written and oral communication skills, problem-solving skills, and demonstrated initiative and creativity.
- Experience coordinating or overseeing office move a plus.
- Strong interpersonal skills and the ability to collaborate with a dynamic and diverse team.
- Bachelor's or Associate's degree or equivalent combination of education/training and experience required. 3+ years' related work experience required.
- Commitment to ending violence against women, promoting racial and gender equity, and familiarity with and/or interest in worker rights and economic justice for all.
SALARY & BENEFITS: This is full-time, exempt position with a pay range of $65,000-75,000/year, commensurate with experience and expertise. FUTURES offers a competitive benefits package.

COVID-19 considerations:
We are temporarily fully remote, and will transition into hybrid work starting January of 2022. Employees who will be onsite are expected to provide proof of vaccination and wear a mask.
