On a 12- to 18-month contract, we offer an exciting and unique opportunity for an experienced Resource Planner to join our strong team. We're searching for someone who has worked in a resource planning-related role, isn't afraid to work in a fast-paced workplace, and can provide structure and control to the track(s) of work they supervise in this new post in the Global MW department.



You'll be largely responsible for assisting the department's senior leaders. You'll be responsible for supporting the assignment of FTE and outsourced resources (i.e., work allocation) and working with leadership to support short- and long-term forecasting and budgeting. This comprises standalone projects, large portfolio submissions with sophisticated resourcing strategies, departmental initiatives, and process improvements. Gathering, evaluating, recognizing, and efficiently enabling the transfer of information from many sources will be required. You'll work with leadership to identify gaps in existing resource planning, forecasting, budgeting, and metrics, as well as bring efficiency and consistency to them. You'll also collaborate with individual project leads on resourcing strategies for large, complex projects, bringing in fresh ideas to boost efficiency and productivity.



Key responsibilities include:



  • Work with executives to ensure that writing projects are assigned to internal FTEs in a timely way, depending on individual competences, skills, knowledge, and capacity across all treatment areas.

  • Work with executives to determine vendor resource allocations that align with the organization's outsourcing strategy and priorities.

  • Develop resourcing and outsourcing plans, submit them to executives for approval, and work to implement them using internal and vendor resources.

  • Coordinate the delivery of new assignments to individual authors, vendors, and contractors, as well as their internal contacts.

  • Schedule resourcing meetings at the departmental leadership and individual therapeutic area levels, organize conversations with suppliers, generate and distribute meeting minutes, identify next steps/action items, and enable resolution of any follow-up items within agreed-upon dates.

  • Act as the initial point of contact for all contractor and vendor inquiries, escalating as needed, such as core process clarification, timeline adjustments, resource issues, IT assistance, system access, etc.

  • Work with the leaders to address schedule problems based on the company's portfolio priorities.

  • Create a metric utilization framework to ensure that resourcing assignments are divided appropriately across levels and responsibilities, with the objective of decreasing internal staff overload.

  • Support the department by preparing usage and resource forecasts and metrics reports, as well as assisting leadership in the adoption of new forecasting and metrics systems. More reporting and system use may be required.

  • Work with the Regulatory Affairs Centralized Process Team (RA CPT), departmental leaders, and Process Improvement (PI) Coaches to ensure that internal FTEs are assigned to departmental and cross-functional projects and process improvements.

  • Work with the RA CPT, executives, and PI Coaches to prioritize projects and process changes in accordance with departmental and corporate goals and objectives.

  • Collaborate with the RA CPT and PI Coaches to ensure that all current and future projects and process improvements are properly monitored.

  • Work with the RA CPT on vendor training curriculum and assignments, as well as process enhancements.

  • As needed, the Resource Planner may assume new tasks within the department.



You Will Need.



  • Experience in a resource planning-related role in a regulated environment, preferably including experience in life sciences or business consulting. Experience in Regulatory Affairs and/or Medical Writing would be particularly beneficial.

  • Excellent program and project management, consensus-building, collaboration, and leadership skills

  • Experience with Business Analysis process and techniques, including Lean, Six Sigma or other process improvement methodologies. Understanding of forecast models or have relatable skills

  • To be self-driven and motivated to take full accountability for the track(s) of work you manage

  • The ability to proactively understand the needs of a team and manage stake-holder expectations

  • The ability to balance integrity and efficiency when managing attention to detail

  • The ability to continuously anticipate and solve problems, applying emotional intelligence as well as strategic thinking

  • The ability to address the critical requirements of the organization by taking a strategic long lens approach to forecast planning

  • Exceptional ability to manage changing priorities and ambiguity. To be a flexible thinker and willing to adapt to changing approaches based on the evolving needs and expectations of the organization

  • High proficiency in Microsoft Office suite (including Visio, Project, and Excel), as well as Adobe Acrobat and SharePoint, including preparing, organizing, facilitating, and presenting to Director level and up leadership

  • Bachelor's degree, or local equivalent, or equivalent experience qualification.
