Job description
I. MAJOR/ESSENTIAL FUNCTIONS:
Reporting to the Human Resource Manager, the Human Resources Assistant provides assistance with and facilitates the Human Resources processes for all Association locations. This includes but is not limited to assisting with the implementation of the HRIS system for the Association. The Human Resources Assistant serves as liaison to HR vendors to handle complex claims and other administrative issues. Responsible for the effective administration of the NASW's employment function including assisting hiring managers with recruitment advertising, reference checking and onboarding. Serves as front office contact for all employee and manager timekeeping records and changes. This position will be heavily involved in creating HR reports and executing reconciliation activities on a monthly basis and as required.
II. BASIC DUTIES & RESPONSIBILITIES:
- Assists with the implementation, and records maintenance of the HRIS system and generates reports as needed.
- Inputs HR expenses in the financial database for processing.
- Working with the HR Manager and HR Generalist as one of the liaisons with various benefit vendors to coordinate and resolve issues as needed.
- Provides data and reports to managers and employees as requested.
- Conducts research and compiles detailed information regarding confidential human resource data for management's use.
- Provides information to auditors as requested. Calculates a variety of statistics related to employee data.
- Coordinates data for various payroll-based functions and prepares and compiles appropriate documentation to process payroll.
- Updates various HRIS and personnel records to reflect job-related or personal data changes and takes appropriate follow-up action as needed.
- Provides assistance with the NASW's employment/recruitment policies, strategies, practices and procedures. Prepares new hire packages and conducts new hire orientations and ensures employees gain a solid understanding of benefits, policies and procedures and time and attendance system. Prepares materials for terminating employees and arranges for delivery and/or meetings/conferences about off-boarding.
- Establishes and maintains project files, correspondence files, and other files. Keeps track of due dates and performs required follow up on reports, correspondence and other items.
- Assist in the time tracking system changes, upgrades and on-going training.
- Ensures that HR records are accurate and up-to-date on an ongoing basis by preparing on-boarding, change and termination forms, ensuring that all documentation is complete; organizing information for employee personnel files; maintaining electronic records; and updating information on HR databases
- Performs additional duties and responsibilities as needed.
III. ESSENTIAL EXPERIENCE, SKILLS
Skills: Requires demonstrated strong interpersonal skills, including an ability to courteously and effectively work with staff at all levels. Must effectively manage competing and changing priorities and thrive in a fast-paced, deadline-oriented environment. Must be an excellent communicator, both orally and in writing. Strong grammar and writing skills are required. Must have a strong customer service orientation and be able to adapt effectively to a variety of personalities. Requires demonstrated analytical and quantitative skills. Requires meticulous attention to detail. Must be detail-oriented without losing sight of the big picture. Requires advanced skills with the Microsoft Office suite including Word, Advance Excel skills and some knowledge of HRIS systems a plus.
Knowledge: Prefer a Bachelor's degree or a minimum of 3 years HR assistant/coordinator experience.
Experience: Requires 1 to 2 years of prior related work experience in addition to the education requirement. Experience working in non-profits and union environment is preferred.

Pay: From $43,000.00 per year
