Job Summary:

The Legal Specialist must possess strong time management and communication skills, be self-motivated, highly organized, able to maintain files with updated and accurate information, manage a wide variety of concurrent tasks, meet deadlines, and effectively communicate with a diverse array of people both inside and outside the organization. Additionally, such candidate will handle standard administrative duties such as managing inbound and outbound calls, sending and processing electronic communications, and managing department files, supplies, and equipment.

Responsibilities:
Work collaboratively with internal departments to gather information on behalf of legal team.

Liaise with outside counsel and third-party administrators in connection with ongoing litigation matters.

Create, manage and maintain a litigation chart, including updates, status, hearing dates and court filings.

Secure and schedule representatives to appear as needed on organization's behalf for legal proceedings.

Assist with internal investigations and discovery collection, organization, and review.

Track and distribute all demand letters, subpoenas and/or any of Service of Process documents received by the legal department.

Negotiate and draft guest settlement agreements under attorney supervision.

Under attorney direction, drafts and prepares correspondence and other written documents as required including responses, reports, filings, pleadings, motions, interrogatories, opinions, position papers, letters, etc., and other documents as necessary.

Monitors files and escalates issues requiring attorney involvement. Performs timely handling of highly sensitive issues and materials related to case or contract.

May perform other responsibilities as assigned. Responsibilities and duties may change when circumstances dictate (e.g., emergencies change in workload, rush jobs or technical developments).

Qualifications:
Bachelor's degree or equivalent experience

3-5 years' experience

Bilingual (English and Spanish)

Proficient in Word, PDF, and Excel formats.

Requires critical thinking skills, excellent communication (verbal and written) and organizational skills, decisive judgment and the ability to work with minimal supervision

Highly collaborative individual with ability to influence others and build strong professional relationships, including with business leaders and legal team, as well as external partners.

Detail-oriented with the ability to independently prioritize work and handle multiple tasks with set deadlines as a top priority.

A high level of integrity, discretion, and professionalism in handling highly confidential and sensitive matters.

Able to complete a high volume of tasks and projects quickly with little guidance and react with appropriate urgency to situations and events that require a quick response or turnaround in a fast-paced environment.

Ability to maintain good interpersonal skills.
