Job DescriptionJob DescriptionStep into an instrumental role. Help conduct the smooth operation of a fast-paced and friendly financial planning office. Work as an employee of an independent Franchise Advisory practice ofAmeriprise Financial.Assist financial advisor and associate financial advisor in managing and organizing office workflow withan emphasis on creating and delivering a unique client experience that defines and differentiates thepractice. This position will consistently follow high standards of business and professional ethics andlegal and regulatory requirements when dealing with others and/or performing work activities.The Client Service Specialist supports the many different tasks for which the practice is responsible andties directly to the overall business plan of the practice. This role provides client relationship supportthrough direct interaction with clients to ensure seamless onboarding, accurate account setup andproactive communication related to transactions and advisor recommendations. The position alsoperforms other administrative, business and practice management tasks, as needed. This role is criticalin allowing the advisor to focus more time and energy on client acquisition and deepening clientrelationships, while providing assurance that their practice is being maintained and supported withinAmeriprise Financial guidelines.ResponsibilitiesResponsibilities will change over time to meet the needs of the practice and can include other dutiesas assigned by the advisor.Client Care: Greet and extend hospitality to clients upon arrival Answer phone calls and provide assistance to clients, prospects, and vendors Answer questions and provide readily available information to clients, if requested and asallowable, as it relates to servicing their accounts Set up and maintain client management system Call clients and prospects to schedule and confirm appointments Call clients to provide updates on follow up items Gather client data Prepare agendas, forms, and presentations Prepare client communications (e.g., greeting cards, letters, emails, and text messages) Document client contacts/calls Organize client files Track client special events and make appropriate contact per established client contact modelAdministrative/Business Management: Copy and track all client and practice materials including business correspondence Work with home office to ensure accurate account setup and resolve issues Follow-up with home office on client and practice related issues Prepare correspondence for advisor signature Maintain files and records in accordance with the records retention policy Perform other allowable duties as assigned by the advisors Provide insight and recommendations to effectively use key tools (Salesforce, Marketing onDemand, Go Social, Advisor website, etc.) Coordinate marketing events for the practiceRequired QualificationsKey Traits: Strong organizational and computer skills Direct attention to detail and organization Effective communication with clients, advisors, and staff Effective and efficient time management Polite and clear phone manner Ability to multi-task Ability to adhere to rules and regulations as stated and required by advisor and Ameriprise Ability to support and provide guidance for compliance within the advisory practice Positive attitude and sincere willingness to constantly learn and growEducation and Other Designations: High school diploma and 2+ years of similar experience (required) Experience with Salesforce and Outlook (preferred)About Our CompanyWith the right company, life can Be Brilliant.
