Job Summary

The Human Resources Manager's p rimary responsibilities include team member advocacy, and efficient administration and management of the Human Resources operation. Responsibilities include recruiting, training, benefits administration, workers compensation administration, compliance with statutory requirements, HRIS management, and the execution of employee relation activities to provide each department with the personnel guidance and support necessary to achieve their customer service and business objectives.

Essential Job Functions

- Manages the HRIS system (ADP Workforce Now) database of all employee records to include new hires, terminations, internal transfers, and promotions, as well as any other HRIS system updates or changes that are needed.
- Responsible for auditing all system records and employee files to ensure all information is accurate and complete. (e.g., ADP, Personnel Files, I-9's)
- Manage the recruiting process including phone screens, background/drug screen checks, employment offers, onboarding and I-9 e-verification.
- Maintains an up-to-date staffing guide against position requisitions to cross-reference and maintain accurate staffing numbers compared to actual budgeted payroll.
- Develops relationships with local community employment/vocational agencies, schools, colleges, and international recruitment agencies for sources of employment both locally and nationally participates in job fairs.
- Serves as a resource for all team members.
- Comply with Carillon Miami Wellness Resort policies and procedures, as well as federal, state, and local laws.
- Administers all leave of absences (personal, FMLA & MMLA) and tracks all money owed.
- Responsible for managing Accounts Payable for the HR Department.
- Primary administrator of the worker's compensation program.
- Primary administrator of the benefits program.
- Maintains, participates, and creates as appropriate proactive programs to ensure team member's views, problems, and issues, concerns etc. are heard and addressed as needed.
- Supports team members and managers with the resolution of concerns and/or issues. Responds to inquiries regarding policies, procedures, and programs.
- Develops and maintains procedures and systems to facilitate smooth and efficient operation of recruitment function, to include up-to-date Job Descriptions, advice and training for supervisors and managers, etc.
- Assists in conducting exit interviews and sets up and generates reports on results, trends, and other information.
- Manages all new hire orientation sessions, facilitates all culture and service trainings, and maintain proper records.
- Oversees Carillon Team Members Recognition Program and drives training initiatives.
- Handle employee relations issues while maintaining confidentiality and observing ethical and professional standards.
- Maintains knowledge of legal requirements and government reporting regulations affecting human resources functions and ensures policies, procedures, and reporting are in compliance.
- Advises/coaches managers and supervisors on the performance management cycle, coaching/counseling process, terminations, promotions, safety, and sexual harassment issues.
- Reviews Counseling forms to ensure accuracy and legal compliance.
- Conducts unbiased investigations and facilitates appropriate resolution to claims of harassment, discrimination, or any other claim of unfair treatment or in response to any team member concern.
- Participates in termination meetings to ensure action is appropriate, documentation supports termination and to serve as an advocate for the team member.
- Monitors performance reviews and salary adjustments to ensure they are administered equitability and within guidelines.
- Receives, reviews for accuracy, and processes all employee related paperwork including PAF (Personnel Action Forms), and payroll adjustments.
- Works closely with Finance team to ensure timely and accurate processing of bi-weekly payroll.
- Responds to unemployment claims in a timely manner ensuring appropriate documentation and participating in hearings as necessary or required.
- Maintains good understanding of benefits, leaves and compensation programs and acts as a liaison to team members for general questions and issues.
- Undertakes and performs special projects and assignments as assigned.
- Performs other job-related duties as directed or requested.

Education, Experience and Skill Requirements

- Must be bilingual (English & Spanish).
- Associates or Bachelor's degree in Human Resources, Business, Management, or equivalent education and/or experience.
- Two or more years of experience as a Human Resources Manager, preferably in the local market within a luxury hospitality setting
- Knowledge of employment laws.
- Ability to develop and maintain good working relationships with all levels of Carillon Miami Wellness Resort team members, vendors, guests, and government agencies.
- Excellent customer service and positive interpersonal skills.
- Excellent verbal and written communication skills, including strong writing and editing abilities and outstanding presentation skills, including ability to professionally speak in public and in front of groups.
- Proficiency in Microsoft Word, Excel, Power Point and Outlook, and proficiency or the ability to learn quickly with little assistance other software packages. Experience with ADP Workforce Now is a plus.
- Strong analytical and problem-solving abilities.
- Good judgment and the ability to maintain confidentiality are critical.
- Ability to effectively handle multiple tasks simultaneously with frequent interruptions.
- Strong organizational skills and attention to detail.
