Administrative Assistant position with an Ameriprise Financial Services practice in Orlando, FL

Responsibilities

Administrative responsibilities:

  • Prepare and track client and practice materials including business correspondence
  • Work with the home office to ensure accurate account setup and resolve issues
  • Assist the advisor in ensuring proper workflow for client contact
  • Coordinate marketing events for the practice
  • Schedule client appointments and prepare agendas and forms for appointments
  • Conduct client appointment reminder calls and check-in calls on follow up items
  • Perform other allowable duties as assigned by the financial advisor
  • Maintain files and records in accordance with the records retention policy
Client care:
  • Greet clients upon arrival and extend hospitality to clients
  • Maintain client management (CRM) system
  • Document client contacts/calls
  • Track client special events and make appropriate contact per established client contact model


Required Qualifications

Key Traits of a Successful Administrative Assistant:
  • Demonstrate exceptional computer skills, Salesforce experience very desirable
  • Direct attention to detail, accuracy desirable
  • Strong organizational skills and efficient time management
  • Effective communication with clients and other staff
  • Polite and clear phone manner
  • Ability to multi-task
  • Ability to adhere to rules and regulations as stated and required by advisor and FINRA
  • Ability to support and provide guidance for compliance within the advisor's practice
  • Positive attitude and sincere willingness to constantly learn and grow
