Executive Assistant


Job Description:

Our client, one of the nations leading benefits brokerage firms, is seeking a new executive assistant! The Executive Assistant serves on the Orlando Retirement and Wealth team to resource and accomplish daily office processes and events, senior leadership calendaring and travel support, and client and prospect visits. This role provides calendar management, and business system support to the R+W Division executive team and assists with office management items that impact all Orlando Retirement and Wealth employees.


Responsibilities:


  • Office Support:

  • Assists with day-to-day desk activities including directing phone traffic, mail, and email.

  • Supports organization transitions and building moves.

  • Assists the team with ordering and maintaining inventories of office supplies, kitchen supplies and appliances, office furniture, and interiors.

  • Assists with the management and proper operation of office equipment to include printers, copiers, scanners, computers, postage, shipping, and binding equipment.

  • Communicates effectively with the team regarding operational and building announcements.

  • Senior Leadership Support:

  • Coordinates calendars, expense reports, and travel.

  • Manages all aspects of client and prospect visits including travel, meals, and itinerary.

  • Masters the use of business technology including Zoom, Outlook, Office Suite, MS Teams, etc. to enhance training and support of leadership.

  • Utilizes these technologies to accomplish varied projects assigned by leadership team members.

  • Prioritizes conflicting needs; handle matters expeditiously and proactively, follow through on projects to successful completion and often with deadline pressures and competing expectations.

  • Morale and Culture: Assists in the creation of team building events and celebrations


Education Requirements:


  • Bachelors Degree or equivalent experience, preferred.

    • Ability to perform well within a team as well as independently.

    • Advanced proficiency in Microsoft Office and ability to quickly master internal technology platforms
