Salary Range: $51,000 - $60,000
Position Summary
The Grant Services Supervisor is responsible for optimizing the grant administrative process so that it will maximize resources, ensuring compliance with grant regulations, reviewing grant proposals, managing grant associated databases, completing grant applications, sub-recipient contracting, invoice compliance review and reporting, tracking results, monitoring expenditure rates, training sub-recipient partners, analyzing financial data and facilitating expense allocations.
Essential Duties and Responsibilities
- Create a contracts and billing infrastructure that supports existing system level processes
- Develop and manage policies and procedures that will maximize application scores at both state and federal levels.
- Ensure that all processes maintain compliance with existing grants
- Creatively identify ways to strategically shift available funding to meet the maximum amount of unmet needs when appropriate
- Liaise with all system resource stakeholders.
- Write contracts with sub-recipients, to include all components required by the funder and ensure that the scope of work maximizes the efficacy of the existing system
- Oversee all monitoring activities conducted with each sub-recipient at least once per year
- Design a monitoring tools that will support sub-recipient's ability to remain in compliance with grant stipulations
- Create internal monitoring structure for HSN to complete annually
- Ensure all monitoring activities are documented properly and in a timely manner
- Collaborate with the CFO and Finance Manager to develop an effective system for grant invoicing and reporting.
- Develop training tools for all stakeholders (internal and external) to understand all compliance and reporting processes
- Create a general understanding of the grant structure for all levels within the organization
- Work with the Finance Manager to recommend budget projections for each program or project based on grant spending.
- Provide status reports to the CFO for each grant (to include budget balances, sub-recipient compliance etc.) on a weekly, monthly and quarterly basis
- Supervise the Grants Admin team and delegate tasks appropriately
Qualifications and Requirements
- Interest and passion about HSN's mission with the ability to promote and communicate HSN's philosophy, mission and values to external and internal stakeholders.
- Strong relationship builder and communicator with a customer service focus.
- Ability to learn, understand and adhere to HUD guidelines, policies and procedures. Existing experience with HUD funding is a plus.
- Ability to work cooperatively and collaboratively with all levels of employees, management, and external agencies to maximize performance, creativity, problem solving, and results.
- Ability to communicate effectively both verbally and in writing.
- A Bachelor's degree in Human Services, Public Administration, or related field; or equivalent background with five (5) years of grant administration in a nonprofit setting.
- Knowledge of and experience working with HMIS, Salesforce and other spreadsheets and databases.
- Proficient in MS Office (Word, PowerPoint and Excel) and computer usage to include email, internet and presentations.
- Familiarity with homelessness, poverty, housing, mental health, recovery and human services.
- Knowledge of mathematical and accounting principles.
- Possess valid driver's license and have access to properly registered vehicle.

Work Environment
The employee will work as part of a team as well as interface with agencies and funders. The employee will spend significant portions of time in the office setting. This is a full-time position requiring 40 hours per week. Additional hours are occasionally required. Work generally occurs Monday through Friday between 9:00 a.m. and 5:00 p.m. This is not a remote work position.
