Job Decription:
Property Management Assistant needed for busy residential real estate property management office. Must be able to multitask and have good computer skills, having your own transportation is a must. Real estate license not necessary.
Excellent customer service skills, professionalism, and outgoing personality.
Manages a variety of tasks with customer service and care. Completes administrative as well as accounting duties with strict deadlines - both daily and monthly.
Duties & Responsibilities include the following, but not limited to:
Greets customers as they enter the office, calls that come into the office, or any other communications/visits regarding office.
Works with property managers to make sure all administrative duties pertaining to properties, work orders, move in, move outs, inspections, listings, showings, and various other tasks are taken care of for staff in the office
General office maintenance such as ordering supplies, maintenance of office equipment. Maintains files for rental and property management office, creates, updates, and maintains database for new and existing properties, work order, special projects, office manuals, tenant, and owner insurance policies, etc. in all real estate programs and websites for company.
Pulls reports/logs for office and company; may assist Property Management with logs/reports. Maintains confidential information on tenants and vendors; adheres to ethical and confidentiality agreements put forth by the company
Maintains all office phone, email rosters, Processes incoming and outgoing mail. Creates and maintains rental list/AppFolio/Answer Connect/ Website
Keeps all vendor 1099s, insurance and owner insurance up to date and compliant
Creates and maintains a key log; records all distribution of keys; receives keys; always knows location of keys in cabinet and with property management, including lockboxes.
Completes administrative and accounting duties with strict deadlines
Completes duties within the software of Appfolio
Researches and runs applications for tenants, owners, vendors, landlords, etc.
Posts rent payments to Appfolio - online or in-person payments
Uploads information to tenant, owners, and vendors and keep appfolio and dropbox current.
Creates, maintains, and closes work orders for maintenance on properties
Completes work orders based upon property management, tenant, vendor, and manager conversations
Generates reports - late fees, lease renewals, maintenance, etc - for property management leadership and managers
Assists the Property Manager with a variety of office duties; may assist other team members as necessary
Ability to multi-task and keep up with fast paced environment
Self-directed; ability to work both independently and in team environment
Ability to learn new skills rapidly and accurately
Strong organizational abilities
Computer skills- basic (typing, basic spreadsheets, emails, texting and using real estate software systems)
Must be able to work all full-time hours (40 hours per week) as required
Schedules necessary appointments with tenants and vendors
Adheres to strict confidentiality concerning all Property Management issues
Job Type: Full-time
Pay: From $15.00 per hour
